Work Location: Houston, TX

Job Summary/Description
The Senior Secretary will provide front desk support and reception.

Job Duties/Responsibilities/Functions (including but not limited to)
• Front Desk Telephones: Answer, Screen, Triage Calls with Accurate Messages
• Department Directory Information: Update and maintain departmental phone list, departmental email distribution group, and administrative team reference sheets
• Front Desk Coverage Schedule: Creates and maintains the monthly front desk coverage schedule for the departmental administrative support team
• Departmental Mail and Packages: Collect, Receive and distribute Departmental Mail, faxes and Incoming Packages.
• Management of Departmental Conference Room: Accurate Room Scheduling and Updating of Room Placards on a Daily Basis
• Lab Coats: Responsible for taking soiled lab coats to the 3rd floor for cleaning and picking up lab coats weekly.
• Medical Records Management: Facilitates the transfer of patient medical documents to Records Completion for scanning and imaging to permanent record
• Maintenance of Departmental Intranet Site: Uploading of basic documents to departmental intranet site using Rythmyx Software
• Restock Surgeon’s Lounge: one week every 2 months
• KRONOS – Timekeeping: Provide data entry support to primary timekeeper.
• Employee Onboarding: Order signage, order office door keys, set up mail box, add employee to departmental email distribution groups
• Weekly Inventory of Supplies: Order and restock office supplies weekly and order coffee supplies for the 17th floor and lab area online every 2 weeks and restock as needed.
• Service Calls: Provides assistance with handling service calls to vendors in the absence of the Office Manager
• Performs other duties as assigned.

Minimum Qualifications
• Required: High school graduate or equivalent. Specialized training in secretarial skills (such as word processing and business).
• Preferred: Bachelor’s degree. Two years of formal secretarial training from an approved business or secretarial school.
• Required: Four years of secretarial experience including advanced secretarial duties.
• Preferred: Five years administrative experience
• Preferred: Certified Professional Secretary.
