Executive Search Coordinator

Job Summary/Description
Provide information, assistance, support, and technical knowledge to the Executive Recruitment department. Responsible for coordinating the complex scheduling of executive/administrative staff-level candidate interviews, client meetings and conference calls, and the on-boarding process for the newly hired executive staff. Must be flexible and able to work under pressure in a fast-paced, highly confidential, and dynamic environment. Must be able to interact effectively with all levels of staff within and outside the institution. Must be able to multi-task and establish priorities and deadlines. Of utmost importance are a strong attention to detail and an outstanding customer service orientation.

Job Duties/Responsibilities/Functions (including but not limited to)
• Responsible for interacting with candidates, hiring managers, interview participants and their staff in coordinating complex scheduling of administrative staff-level candidate interviews, including associated travel, hotel, and car service; providing details/instructions for interviews; meeting and escorting candidates to/from interviews; making lunch reservations; scheduling tours of the institution; etc.
• Prepare detailed interview schedules and candidate background booklets (that include the interview schedule, position description, resume, and interview guide/assessment form), and deliver those booklets to interview participants around MDACC campuses. Create the interview guide and assessment form for each search position based on the position’s Core Values and Competencies. Following the interviews and receipt of assessments from the hiring manager and interviewers, create the cumulative assessment used by the hiring manager to assist in their decision-making process.
• Complete Hire activity in Taleo Recruit & Transitions (applicant tracking and onboarding system); coordinate/confirm pre-employment testing (using Medgate and i3 software) and the New Employee Orientation Program information to newly hired administrative-level staff; including post-hire communication/follow-up of relocation benefits. Prepare new hire documentation to Service Center on time with all required data.
• Prepare offer letters and generate, for the President’s and UT System Chancellor’s signature, Request for Budget Change (RBC) letters, as required by UT System.
• Participate in search assignment status conference calls between Executive Recruitment, hiring managers and outside search firms.
• Provide general administrative support to Executive Recruitment department, including, but not limited to: scheduling meetings and interviews, travel arrangements, answering telephones, basic presentations, etc.
• Maintain/update search process checklists.
• Review expenses from candidates and search firms and submit for reimbursement using guidelines from MDACC Supply Chain Management and general polices.
• Performs other duties as assigned.

Minimum Qualifications
• Bachelor’s degree highly preferred with at least five (5) years of staffing/recruiting agency experience or HR experience. Will consider candidates with a Bachelor’s degree with a customer service background supporting senior management.
• Require five (5) years business, administrative and/or customer service experience.
• Preferred experience interacting with senior management and multiple individuals.
• Agency and/or search firm experience highly desirable.
