Referral Coordinator Manager - (13223)

InGenesis is currently sourcing candidates for the position of Referral Coordinator Manager to work remotely for our client. In this role, you will be responsible for managing the referral coordinators.

Responsibilities and Duties:

Operations and Compliance Management:

  • Oversee and manage the referrals coordination team to ensure accurate and timely processing of all medical referrals.
  • Ensure compliance with referral management policies, regulatory standards, and timelines.
  • Monitor documentation within the Electronic Health Record (eHR) system for accuracy and resolve inconsistencies.

Team Leadership and Communication:

  • Serve as the primary point of contact for IHSC medical referrals, liaising between internal teams, external providers, and the Health Plan Management Unit (HPMU).
  • Lead efforts to recruit and maintain relationships with off-site healthcare providers, managing the IHSC HPMU Provider Network records.

Scheduling and Coordination:

  • Coordinate scheduling of off-site specialty consultations, follow-ups, and radiology procedures based on provider referrals.
  • Facilitate detainee transportation and ensure the preparation of sealed medical packets for appointments.

Process Oversight:

  • Manage durable medical equipment orders for detainees and process payment authorizations for medical services.
  • Develop and maintain systems to track referrals, follow-ups, and denied claims, ensuring timely reconciliation.
  • Generate and review reports to ensure all referrals are completed and documented accurately.

Staff Development:

  • Provide initial and ongoing training to staff on referral management protocols, confidentiality standards (HIPAA/Privacy Act), and eHR usage.
  • Evaluate team performance and implement process improvements to enhance service quality and efficiency.

Supervisory Responsibilities:

  • Directly supervises the referrals coordination team and reports to the Deputy Project Manager.
  • Responsible for hiring, training, and conducting performance evaluations.
  • In the event of a direct report being on extended leave, the Referral Coordinator Manager (RCM) is responsible for ensuring appropriate replacement coverage to maintain team continuity.

Other Duties as assigned:

  • Perform additional duties as assigned to meet organizational needs.

Minimum Qualifications:

Degree issuing institution and or program must be accredited by an entity recognized by the U.S. Department of Education

  • Bachelor’s degree in a relevant field (e.g., healthcare administration, management)
  • A minimum of 5 years of management experience in a healthcare setting, preferably in referral coordination, medical records, or related areas.
  • At least 2 years of experience scheduling and managing off-site medical appointment.
  • Advanced knowledge of eHR systems and proficiency in Microsoft Office Suite (Word, Excel, Outlook, SharePoint).
  • Strong understanding of medical terminology, CPT codes, and healthcare compliance standards.
  • Proven leadership and team management abilities.
  • Exceptional oral and written communication skills.
  • Verbal proficiency in Spanish (preferred but not required).
  • Proficiency in common Microsoft Office programs.
  • Understanding of HIPAA/Privacy Act regulations and Personally Identifiable Information (PII).
