Promotional Material Coordinator - Team Lead

Work Location: Montreal, Quebec, CAN


InGenesis is currently seeking a Promotional Material Coordinator - Team Lead to work with our client located in Kirkland, CAN. In this role, you will coordinate the life-cycle of promo materials, working in close collaboration with the internal marketing and sales team, while managing the relation with external printing agencies. You will also supervise, and work alongside, a team of Promotional Material Coordinators.

Job Duties

  • Manage team workflow, supervision, and training.
  • Manage team’s performance review process.
  • Promote culture of teamwork, knowledge sharing, collaboration, and innovation.
  • Collaborate with key stakeholders to support business objectives.
  • Oversee development of promotional materials through all stages of its lifecycle.
  • Coordinate compliance reviews.
  • Ensure relevant practice codes are adhered to (IMC, Health Canada, PAAB, ASC).
  • Ensure proper approval process for all projects.
  • Ensure functional budgets are accurate and balanced (incl. accruals).
  • Ensure project and/or milestone completion as part of supplier payment process.
  • Monitor supplier / agency quality assurance KPI’s as part of supplier review process.
  • Manage supplier payment process, including purchase orders, requisition reconciliations, vendor changes, invoice processing and required follow-ups.
  • Manage sponsorship and preceptorship approvals, agreements, payments, budget tracking, Bill 90 forms and annual conferences planner.
  • Provide general administrative support to teams as required (coordinate regional sales meetings, make travel arrangements for sales directors, update files with employee movements, etc.).
  • Ensure team’s full knowledge of compliance with all client policies.
  • Perform other duties as assigned.


Minimum Qualifications

  • 3+ years of relevant experience supporting a fast-paced team.
  • 2+ years of experience managing the relation with an external marketing/printing/creative agency.
  • Extensive knowledge in MS Office Suite.
  • Strong relationship building skills with experience engaging various stakeholders.
  • Strong client service focus in dealing with both external and internal clients.
  • Effective listening and communication skills (written/verbal) in both English and French.
  • Preferred: Experience with or knowledge of promotional material coordination.
  • Preferred: Project management certification or experience.
  • Preferred: Degree in Marketing or related field.
