Executive Assistant
Work Location: San Antonio, TX

Job Summary/Description
Provides administrative support to executive level leadership under general supervision. Performs work that is varied and generally administrative and/or project oriented with analysis. Work regularly requires use of initiative, discretion and independent judgment. Role involves scheduling meetings, taking messages, ordering supplies, making copies, filing, emailing notices and information, taking meeting minutes & timely transcribing for review and approval, assisting with meeting agenda and report generation, etc. Role is centralized point of contact for clinical operations facilitating communications and support for nursing services with other departments such as facilities, admissions, etc.

Minimum Qualifications
• High School diploma or equivalent required. Bachelor’s degree preferred.
• Six (6) years related work experience required.
• Advanced working knowledge of standard Office Software such as Word, Excel, PowerPoint and Outlook is required. Strong business software technical skills including Microsoft Word, Outlook, Excel, and preparing graphical representations of clinical and personnel outcome data is desired.
• Use of University financial systems may be required.
• Extensive experience with scheduling, maintaining calendars, and travel itineraries required.
• Prior experience preparing meeting materials or general reports required. May substitute required experience with equivalent years of education beyond the minimum education requirement.
• Strong customer service orientation as this is a large department with high volume phone and face-to- face interactions with Nursing Management i.e. Nurse Managers (3), Clinical Care Coordinators (8), House Supervisors (4) as well as staff nurses and psych techs covering 12 units. Business for this staff member is primarily conducted in an office suite setting.
