Scheduling Coordinator - (13120)

Administrative | Remote in Remote, FL | Contract | From $16.50 to $19.00 per hour

Job Description

InGenesis is currently seeking a dedicated Scheduling Coordinator to work with our client. In this role, you manage staff scheduling duties efficiently and effectively.

Key Responsibilities:

  • Schedule staff according to established ratios to ensure optimal coverage.
  • Finalize department schedules in a timely manner to meet operational needs.
  • Utilize scheduling tools to promptly fill staff call-outs during shifts.
  • Communicate proactively with staff to fill open shifts and manage shift swaps.
  • Approve shift swaps within the scheduling tool as needed.
  • Collaborate with supervisors to address urgent staffing requirements.
  • Maintain and update active staff information in the scheduling system.
  • Communicate with staff via phone, text, and email to ensure departmental staffing needs are met.
  • Review schedules for accuracy and compliance with internal policies and regulations.
  • Answer routine telephone inquiries and provide assistance to staff and management.
  • Train new staff on scheduling system requirements and procedures.
  • Ensure staff are assigned to the correct units based on qualifications and operational needs.
  • Identify and address coverage gaps in coordination with leadership to maintain service delivery.

Additional Responsibilities:

  • Participate in scheduled meetings and contribute to team discussions and initiatives.
  • Prepare presentations and training materials as needed for staff development.
  • Communicate effectively in writing and verbally in English to facilitate clear information sharing.
  • Collaborate with other staff members, service providers, and professionals to enhance program effectiveness.
  • Perform other duties as assigned to support the team and organization’s goals.

Minimum Qualifications:

  • High School Diploma or equivalent; additional education in a relevant field is preferred.
  • At least 3 to 5 years of scheduling experience
  • Previous healthcare scheduling experience is required.
  • Bilingual (Spanish/English) preferred.

Physical Demands:

  • Frequently required to operate a computer and file or retrieve written documents.
  • Physical demands include, but are not limited to, standing, sitting, walking, lifting, carrying, reaching, handling, kneeling, crouching, and bending.
