Executive Administrative Assistant IV
Work Location: San Antonio, TX

Job Summary/Description
Under general supervision, responsible for advanced secretarial and administrative support for senior management and executives. Typically reports to an Executive Vice President, Sr. Vice President or equivalent. Employees in this classification typically analyze, compare and evaluate various courses of action and have the authority to make independent decisions on matters of significance, free from immediate direction, within the scope of their responsibilities. Primary activities and decision-making authority are predominantly performed independently affecting business operations to a substantial degree.

Job Duties/Responsibilities/Functions (including but not limited to)
• Prepares correspondence, memoranda, reports, etc.
• Initiates routine and some non-routine correspondence and memoranda.
• Screens telephone calls and visitors and resolves routine and complex inquiries.
• Schedules and maintains calendar of appointments, meetings and travel itineraries and coordinates related arrangements.
• Prepares and distributes minutes of meetings.
• Utilizes the assistance of one or more lower level secretaries on a reporting or project basis.
• Operates a personal computer and appropriate software packages or its equivalent.
• Oversees daily operations in the Dean's office and serves as the initial point of contact with departments in the school and executive offices of the university; interacts with students, faculty, staff and guests.
• Executes independent judgment in performance of duties and maintains a high level of confidentiality. Utilizes the assistance of a lower level administrative assistant on a reporting or project basis as well as overseeing work study students assigned to the Dean's Office.
• Compose complex and routine correspondence.
• Transcribe and type correspondence, manuscripts, handouts, reports, meeting minutes, agendas, presentations, letters and memorandums. Reviewing and proofing for accurate spelling, grammar, punctuation, and structure.
• Initiate, organize, and regularly maintain electronic and hard copy document filing systems according to records retention guidelines.
• Performs other duties as assigned.

Minimum Qualifications
• Bachelor’s degree or relevant work experience in lieu of education with five years of administrative experience.
• Proficient knowledge of PCs, and software including, but not limited to, word processing, database, spreadsheet applications, and electronic file management.
• Knowledge of multi-lined telephones and proper telephone etiquette.
• Knowledge of executive level office protocol.
• Professional demeanor and ability to maintain a high level of confidentiality.
