Job Description

InGenesis is currently seeking a Administrative Assistant to work with our client located in Houston, TX. In this role, you will support administrative functions, within the Food and Nutrition Services Department and impact department efficiency and productivity by directly supporting department administration and staff in daily operations.

Job Duties

  • Performs complex administrative tasks and secretarial duties requiring independent judgment.
  • Arrange for services as needed from office equipment, training, and department onboarding.
  • Provide support as need for meetings (Zoom and Microsoft Teams).
  • Composes and processes repetitive and non-repetitive documents in accordance with established procedures.
  • Prepares and audits varied reports.  
  • May use complex software system to update and retrieve information.  
  • Answers phone, conveys messages, runs errands and makes copies.  
  • Retrieves and distributes mail to the appropriate individual(s).  Schedules meetings, conferences, and arranges for meeting space, equipment, and catering as needed.  
  • Prepare labels and signage as needed.
  • Serves as backup to Administrative Coordinator in preparing weekly payroll on Kronos system and notifies the appropriate manager when employees are out of compliance.  
  • Creates and maintains personnel files for all department staff members.  
  • Interprets and implements administrative policies and procedures; ensures department policy and procedure manual is updated annually.   
  • Tracks employee deliverables and provides reports to leadership team.
  • Tracks purchases and pick-ups for reconciliation and budgeting; maintains inventory as needed.
  • Participation and assistance with performance improvement projects.
  • Performs other duties as assigned.

 

Minimum Qualifications

  • High school diploma or equivalent.  
  • Specialized training in secretarial skills (such as word processing and business).
  • Bachelor’s Degree preferred.
  • 4 years’ secretarial experience including advanced secretarial duties.
  • Knowledge or Microsoft Office Suite, intermediate skills in Microsoft Outlook, Zoom, and Visio preferred.
