Assistant Director of Advancement Records

Job Description

Maintains and administers all constituency records through the Advancement databases. Responsible for data input, integrity and extrapolation, particularly in support of alumni, marketing, student success, and fundraising endeavors.

Key Responsibilities:

•Responsible for data entry and record integrity of two data systems, Ellucian’s CRM Advance and Colleague, including system integration and communication. Maintains biographical hard-copy materials of alumni of Roanoke College, including the archiving of information and maintains the card files of Marion College alumnae in addition to the database records.

•Initiates discovery of alumni and constituent information to complete records. Utilizes newspaper clippings, RSS feeds, Alumni Finder, social media, Protopia, and Maroons Online, as well as personal searches to gather information in order to update records with the most current information.

•Performs data output for internal and external requests. Endeavors to understand the ultimate purpose of data requests, and leads effort to provide the most useful information. Recommends best means of extracting correct information.

•Fully understands the location of and relationships between data and becomes familiar with the appropriate data mapping for fields as needed.

•Demonstrates proficiency in use of the reporting tool, Informer. Creates control reports in Informer for easy replication. Maintains and develops reports for accurate information retrieval.

•Develops best practices for managing data imports from Colleague to CRM Advance and maintains detailed documentation and procedures for all daily tasks and reporting requests. Assists with the system upgrades and/or evaluation and implementation of new technologies, tools, or database.

•Maintains Maroons Online and assists with account creation for interested alumni.

•Reviews daily scrub reports to ensure accuracy in data updates.

•Compiles alumni news and photos for publication, i.e. class notes for the Alumni magazine.

•Assists the Director of Gifts Management with record creation for new donors, as needed.

•Supervises student assistants.

•Assists others within the department by attending functions or performing other duties as assigned.

Education, Experience, Skills, and Abilities:

•Bachelor’s degree or 1+ years of experience working with data maintenance.

•Experience with Ellucian Colleague or CRM Advance systems or similar systems preferred.

•Proficiency in use of reporting tools is critical; experience in Informer preferred.

•A strong aptitude for organizing and maintaining data, analytical thinker, professional demeanor, and possess excellent troubleshooting skills.

•Proficiency in Microsoft tools. Advanced functions in Excel is required.
