Administrative Assistant to RC-RV and Academic Grants

Roanoke College-Roanoke Valley (RC-RV) and Academic Grants seeks a detail-oriented and proactive Administrative Assistant with grant budget and reporting experience to support our team and ensure smooth operational production. One of RC-RV’s constituents, Explore@RC, a newly established, on-campus lab school, will be the major focus of assistance in 2024-25. After the first year, administrative duties will gradually shift to a more equal balance among all RC-RV constituents and Academic Grants.
This role is pivotal in providing essential administrative support to the leadership teams of RC-RV and Academic Grants making it a valued and integral part of our team. Contributions will be instrumental in ensuring the efficient and effective operation of the dual enrollment lab school (Explore@RC). This role involves handling various tasks related to office management, budget management, student services, and communication.
Key Responsibilities:
- Office Management:
- Manage daily office operations, including answering phones and handling correspondence.
- Schedule and coordinate meetings, appointments, and events for administrators and staff.
- Maintain and update records, databases, and filing systems, ensuring accuracy and confidentiality
- Budget Management:
- Assist with management of budgets for grants maintained by administrators
- Student and Parent Support for Explore@RC):
- Assist with student enrollment and registration processes, including handling inquiries and maintaining records.
- Assist with parent and student communication, promptly and professionally addressing questions, concerns, and requests.
- Coordinate and schedule meetings, orientations, and other related activities.
- Support student check-in and check-out processes as needed.
- Administrative Support:
- Prepare documents, reports, and communications.
- Assist in organizing and executing events, workshops, and academic programs.
- Support implementing programs, including coordinating with partner institutions and tracking program-related activities.
- Communication & Coordination:
- Facilitate effective communication with external stakeholders.
- Coordinate with faculty and staff related to programming.
- Data Management:
- Assist with data entry and management, including that related to student records, attendance, and academic performance.
- Generate reports and summaries as required for internal and external purposes.
- Compliance & Confidentiality:
- Ensure adherence to school policies, procedures, and regulatory requirements.
- Maintain confidentiality of sensitive information and handle data with discretion.
- Supervision
- Supervises student employees
Education, Experience, Skills, and Abilities:
· Associate’s degree in business administration, Education, or a related field (Bachelor’s degree preferred).
· Minimum of 2 years of experience in an administrative role, preferably within an educational setting.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with school management software.
· Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
· Strong communication skills, both written and verbal, with a professional and courteous demeanor.
· Ability to work independently and as part of a team in a fast-paced environment.
· Experience with dual enrollment programs or higher education administration is a plus.
