Campus Coordinator
Administration | Shakopee Campus | Full Time | From $18.00 to $20.00 per hour
Position Summary
The Campus Coordinator will provide administrative support to campus-wide operations, initiatives, events, as well as providing administrative support to the Campus Pastor, Connections team, and Serve our Community initiatives, as needed. He/She will support the campus with essential logistical and administrative details for the day-to-day functionality of the campus.
Essential Duties and Responsibilities
Aid in the Management of Campus Operations and Logistics
Execute decisions as needed for set up, tear down, and overall execution of various events occurring on and off campus. (i.e. Weekend Services, Youth and Go Kids events, Leadership Night, Campus Picnic, Water Baptisms, Alpha, etc.)
Help plan Campus specific events and initiatives such as Worship Nights and Core Groups
Oversee and coordinate linen service, if applicable
Help maintain the excellence of the campus in the areas of organization and cleanliness
Support the Connections and Local Project ministries
Monitor and respond to ministry specific emails and phone calls, as applicable.
Assist in sending out communication emails from the ministry
Assist with ministry specific calendar appointments
Scheduling large planning and strategy meetings with campus or church leadership.
Scheduling meetings or trainings for volunteers serving in this area of ministry.
Reserve and order room space, refreshments, etc. as necessary
Responsible for the administration of all ministry-specific events.
Own the Church Database duties for the ministry.
Setting up and managing tags associated with any event registrations
Manage and set up the check in system for events.
Aid in the communication to and from the Central Ministries department(s) related to ministry needs, resources, challenges, wins, etc.
Assist the ministry leader with tracking ministry spending in relation to budget
Processing reimbursements, check requests, purchase orders and receipts.
Tracking expenditures directly related to the ministry
Lead the Administration Components of the Campus
External Communication
Coordinate process for ensuring campus phone calls are answered in a timely manner
Monitor and respond to general campus email inquiries
Own the distribution of campus mail and process as appropriate
Maintain schedules for recurring pastoral duties, such as Pastor on Call
Coordinate the weekly processing of all completed Connect Cards
Draft and send the weekly Campus Update email
Church Database
Event tags: Organization and maintenance of the church calendar
Assist in the member profile update of campus attendees (i.e. Marriages, Deaths, Water Baptisms, Holy Spirit Baptisms, etc.)
Internal Team Support
Anticipate and place orders for supplies as needed. (Including, but not limited to: Toner, Paper, SAM’s club runs, stock for events such as Alpha, weekend services, funerals, etc.)
Print staff prayer lists for weekly Tuesday morning staff meeting
Attend occasional staff meetings, including but not limited to, Tuesday morning staff meeting and monthly all-staff meeting.
Drive and Coordinate volunteer administrative support as needed.
Help Assist Campus Pastor’s Office:
Schedule all appointments and manage all meeting requests, including calendar and reminders.
Responsible for the coordination of a variety of internal and external meetings involving the Campus Pastor, including but not limited to: weekly staff meetings, Deacon meetings, meetings with campus staff and other meetings Pastor wishes to be involved in/host.
Assist in overall communication in and out of Campus Pastor’s office
Manage email account(s) for Campus Pastor by addressing and/or responding to requests on Campus Pastor’s behalf. This includes ensuring that responses occur in a timely manner.
Respond to calls that come into the church for Campus Pastor. Determine which of those calls need his attention and which can be passed on to other staff members.
Handle all administrative duties for events that the Campus Pastor is directly leading. This may include, but is not limited to, Deacon Meetings, Christmas parties, staff outings, guest hosting, etc.
Qualifications
- Excellent written and verbal communication skills
- Ability to consistently prioritize tasks and adjust to changing priorities
- Skilled in maintaining confidentiality and performing discreetly when necessary
- Proactive thinking and the ability to anticipate the needs of those around you
- Exceptional attention to detail
- Ability to build small volunteer teams for events and administrative support
- Proficient in Google Suite, preferred
Education
Any combination of education and training which demonstrates the ability to perform the duties and responsibilities as described
Experience
Successful candidate should have at least 1-2 years related experience. Experience in Administration, Project Management and/or Ministry is preferred.
