A leading university is seeking an Administrative Associate to provide administrative and operational support with limited supervision. This role is responsible for calendar management, event coordination, financial and administrative support, document preparation, reporting, and office operations while ensuring accuracy, organization, and efficient day-to-day departmental activities.
Administrative Associate Responsibilities:
- Manage complex calendars, schedule meetings, resolve scheduling conflicts, coordinate travel arrangements, and act on behalf of department leadership to prioritize administrative activities and resolve routine operational issues.
- Coordinate conferences, seminars, meetings, and special events by managing logistics, vendor relationships, materials, communications, budgets, and event execution.
- Prepare, edit, proofread, and maintain correspondence, reports, presentations, spreadsheets, websites, and departmental documents while ensuring accuracy through thorough fact-checking and content management.
- Process and reconcile financial transactions, monitor budgets, resolve discrepancies, prepare reports, coordinate office maintenance, moves, and operational projects, and support vendor and equipment requests.
- Provide administrative support to department operations by leading or coordinating temporary staff as needed, maintaining organized workflows, and ensuring the timely completion of administrative projects and assignments.
Administrative Associate Qualifications:
- 2+ years of administrative, office coordination, or related experience.
- Associate's degree or technical degree required.
- Experience managing complex calendars and scheduling.
- Experience coordinating meetings, conferences, or events, preparing reports, spreadsheets, presentations, and professional correspondence.
- Experience in processing financial transactions, budget reconciliation, or administrative accounting support.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Experience supporting multiple stakeholders in a fast-paced environment.
- Experience supervising or coordinating temporary staff is a plus.
