The Position
Serve as office manager for Colket Center administrative offices. Provides administrative support for Director of Student Activities/Colket Center and supervises Colket Center student employees. Coordinates reservations and rentals of campus facilities by off-campus groups.
Key Responsibilities:
- Provides administrative support for the Director of Student Activities/Colket Center including making appointments, coordinator incoming and outgoing correspondence, preparing billing records, preparing monthly budget status reports, and making deposits.
- Coordinate and supervise Colket Center Student Employees to include recruiting, assisting with selection, scheduling, and assigning responsibilities
- Coordinate and schedule vendors, displays, & student organization info tables.
- Assist with building publications, i.e. brochures, newsletters, Colket Center web pages, and electronic boards.
- Coordinate and supervise Event Scheduling Desk including managing EMS system, creating master calendars and assisting other on-campus users of the system.
- Supervise Event Scheduling Student Assistants to include recruiting, assisting with selection, training and assigning responsibilities.
- Coordinate reservations and rentals of campus facilities by off-campus groups:
a. Serve as primary contact for off-campus groups seeking rental of college facilities
b. Screen requests for use of college facilities
c. Arrange for site visits, as needed
d. Coordinate and consult with Office of Community Events, Dining Services, and the College’s Business office.
e. Prepare contracts, correspondence, and other materials to complete the rental process
f. Maintain contact with client to ensure all requirements are fulfilled
g. Submit requests for college support services on behalf of the client, i.e. Campus Safety, Dining Services, Media Services, Campus Center Operations, Physical Plant
h. Upon completion of event – prepare billing of client, deposit any payments, follow-up correspondence, and prepare necessary reports.
- Provide and facilitate administrative support for the Student Activities Office:
- Prepare correspondence, reports and statistics
a. Assist with various campus publications including the Student Handbook
b. Prepare, process, and maintain billing and financial records
c. Make necessary motel reservations and record appropriately
d. Prepare monthly budget status reports for Student Activities Office and Student Organizations.
- Coordinate Spring Leadership Awards by arranging for plaques to be ordered and assisting with
a. Arrange for plaques to be engraved.
b. Prepare certificates for signature.
c. Compile an historical list of award recipients
d. Arrange for award winners to be photographed.
e. Assist with Spring awards banquet – help hand out certificates and plaques.
f. Correspond reservations, key pick up, housekeeping, report maintenance issues, prepare billing, and anything else as needed for the college’s guest house, Monterey.
- Ticket sales preparation, ordering (if necessary) and distribution
- Perform other tasks as directed.
Education, Experience, Skills, and Abilities:
- Bachelor degree preferred
- Excellent interpersonal skills and communication skills
- Proficient in Microsoft Office
- Proficient in EMS Scheduling Software
