Summary:

This position is responsible for performing administrative and accounting support for production, safety, operations, and any other areas of the business in the Union City plant as needed. This position will report directly to the Operations and Engineering Manager.

Essential Skills:

  • Operation of software systems, including but not limited to Microsoft Office, Acumatica and Maintenance Connection, and data entry as required.
  • Work closely with accounting to document all purchase orders, invoices, and payments.
  • Document process and equipment in Maintenance Connection and develop inventory for replacement parts. Keep Maintenance Connection updated for work orders, purchase orders, and inventory.
  • Schedule annual safety and health testing (hearing, respirator, first aid, CPR, etc.) and maintain logs of such testing.
  • Responsible for managing relationship with uniform rental company and reconciling weekly uniform inventory.
  • Order and maintain supply of safety equipment and general office and janitorial supplies.
  • Schedule routine and breakdown maintenance on office equipment, including HVAC, janitorial, septic system, and copiers/printers.
  • Coordinate orders, within Acumatica, with production to ensure order timelines are being met. Notify the Customer Success team of any problems with orders or transportation issues and assist with needs as appropriate.
  • Maintain production data and utility usage spreadsheets and distribute as required.
  • Provide all paperwork necessary for shipping and receiving i.e., MSDS, labels, bills of lading, packing slips etc.
  • Input inventory transactions, batch reports, transfers, and adjustments. Prepare purchase orders for purchase of raw material to ensure accuracy of charges and proper costing. Reconcile physical inventory to book inventory monthly.
  • Effectively and professionally greet and deal with employees, vendors, customers, outside consultants, truck drivers, and be able to meet and direct them to appropriate personnel at the plant.
  • Ensure safety procedures are followed for visitors and that applicable PPE is distributed.
  • Maintain visitor log, including truck drivers.
  • Schedule annual events, including team building events and the Christmas party.
  • Perform additional duties and responsibilities as assigned by the company.

Qualifications & Requirements:

  • High School diploma. Good verbal and written communication skills.
  • Must have working knowledge of Microsoft Office, in particular Excel and Word.
  • Ability to creatively apply experience and common sense to a variety of situations, processes, and people. Ability to manage multiple projects concurrently. Ability to recognize areas for improvement and motivate others to take action to correct problems or follow company processes and procedures.
  • Ability to read, comprehend, and follow simple to complex instructions. Ability to write correspondence and memos and effectively present information, verbally in one-on-one or large group (20+) situations within the organization.
  • Must be able to lift a minimum of 20 lbs., work in varying climates/weather, wear appropriate personal protective equipment when required, while performing work functions
  • Must be able to participate in supporting confidential projects and discussions and keep the details of those conversations confidential.
