As the Office Manager, you will engage with and provide administrative support to our advisors, team members, and policy owners. The ideal candidate is detail-oriented and resourceful, as you will be responsible for overseeing all office operations and creating a productive and engaging work environment.
What You'll Do:
Client Experience & Office Operations
- Create an environment that makes a lasting impression on guests and team members.
- Lead all local office logistics, including event support, catering coordination, and hospitality details for meetings and trainings.
- Oversee conference room scheduling, meeting prep, and day-of coordination to ensure seamless operations.
- Maintain a clean, organized, and well-stocked office by monitoring supplies and vendor relationships.
- Facilitate maintenance and cleaning requests with the building management team.
- Answer incoming phone calls and voicemails with professionalism, route and track as appropriate.
- Maintain and troubleshoot on-site equipment, coordinate IT support as necessary.
- Receive, sign for, and distribute all incoming mail, packages, and faxes; prepare and coordinate outgoing mail and daily UPS shipments.
Administrative Support to Associate Managing Director
- Manage calendar scheduling, meeting coordination, and internal event logistics with discretion and attention to detail.
- Provide concierge-level services for travel logistics, including flights, hotels, ground transportation, and hotel accommodations.
- Compile presentations, reports, and materials for internal and external meetings and events.
- Provide ongoing administrative support to ensure operational efficiency.
Licensing & Contracting
- Work with the firm’s Licensing & Contracting Specialist and the Recruiting Team to process requests for new advisors and staff.
- Track progress and escalate missing documentation or compliance items as needed.
Onboarding & Training
- Provide local support for the firm’s training programs to help advisors grow and develop.
- Prepare onboarding logistics, including workstation setup, systems access, and welcome materials.
- Serve as a point of contact for new advisors based in Grand Rapids during their first 90 days.
Marketing
- Collaborate with the firm’s Marketing Team to assist with local sales promotions, strategic client campaigns, and recruiting efforts.
- Assist with local social media activities by capturing content, suggesting post ideas, and ensuring team participation; the Marketing Team manages and publishes the final content.
- Support marketing-related projects that utilize tools such as Adobe Creative Suite.
Client Service Support
- Work with the firm’s Client Service Specialist to address and resolve requests from policy owners and advisors.
- Common requests include processing claims, addressing billing issues, updating policies, changing addresses, and assigning advisors.
- Provide overflow support to the firm’s primary Client Service Specialist on projects and Inquiries to ensure service consistency and timely resolution.
Additional Duties
- Partner with leadership and team members to foster a positive workplace culture and promote a collaborative environment.
- Take initiative on cross-functional projects and provide reliable, solutions-oriented support.
- Adhere to all compliance, HR, and firm standards; promote policy adherence and escalate concerns when appropriate.
- Assist with additional responsibilities as needed to meet the evolving needs of the office.

- Committed to providing the highest level of service and professionalism.
- 3 years of experience in office or operations management is preferred.
What We'll Provide:
- Biweekly compensation is based on skills and experience.
- Benefit package available.
- In-person role located in Grand Rapids, Michigan.
- Hours are Monday through Thursday, 8:00 am – 5:00 pm, and Friday, 8:00 am – 4:00 pm.
