SUMMARY OF THE ROLE

We are seeking a motivated and detail-oriented HR & Recruitment Specialist to join our team in Poland. This role is primarily focused on end-to-end recruitment (70%), while also supporting a variety of HR operations (30%) to enhance employee experience and support our growing team. The ideal candidate will thrive in a dynamic environment, balancing high-volume recruitment needs with HR excellence.

LOCATION

Hybrid / Remote - Anywhere within Krakow, Poland. B2B option for this role.

Finalsite is a global company and to enable strong collaboration, we have established common core working hours. Candidates should be comfortable working from 11:00-20:00 CEST, with core working hours being 16:00-19:00 CEST

RESPONSIBILITIES

Recruitment (70%)

  • Manage the full recruitment cycle for roles across Poland and international teams, including job posting, sourcing, screening, interviewing, and offer management.

  • Partner with hiring managers to understand role requirements, create engaging job descriptions, and design effective sourcing strategies.

  • Build and maintain a strong pipeline of talent using multiple sourcing channels

  • Coordinate interview scheduling, candidate communications, and ensure a smooth and professional candidate experience.

  • Support employer branding initiatives and contribute to positioning the company as an employer of choice in Poland.

  • Track recruitment metrics and provide regular updates on hiring progress to stakeholders.


Human Resources (20%)

  • Support HR processes including onboarding, offboarding, HRIS data management, and contract administration.

  • Act as the first point of contact for employees in Poland for HR-related queries, ensuring compliance with local labor laws.

  • Collaborate with the global HR team on policies, engagement initiatives, and people programs.

  • Assist with performance review cycles, training coordination, and other HR projects as needed.

  • Help drive a positive workplace culture aligned with company values.

  • Oversee day-to-day Krakow office management

  • Organize and support local employee events and team-building activities

  • Support compliance requirements, HR audits, and employee documentation

  • Assist with HR administrative tasks, such as onboarding, benefits administration, employment verifications and contracts

  • Act as local point of contact for employees on HR office-related inquiries

Executive Assistant (10%)
  • Manage executive calendars, scheduling meetings, appointments, and travel.

  • Coordinate complex domestic and international travel arrangements.

  • Process expense reports, reimbursements, and credit card reconciliations.

  • Prepare presentations, reports, and briefing materials.

  • Record and distribute meeting notes, ensuring follow-up on next steps.

QUALIFICATIONS AND SKILLS
  • Bachelor’s degree in Human Resources, Business Administration, or a related field.

  • 2–4 years of technical recruitment experience (in-house or agency), ideally in an international or fast-paced environment.

  • Experience using an Applicant Tracking System

  • Strong understanding of Polish labor law and HR best practices.

  • Excellent sourcing and interviewing skills, with proven ability to fill roles quickly and effectively.

  • Strong organizational and multitasking skills with high attention to detail.

  • Excellent communication skills in Polish and English (both written and spoken).

  • Ability to work both independently and collaboratively in a hybrid environment.
