Procurement Officer

Job Description

Job Summary:

Vita Durare is looking for a dynamic and detail-oriented Procurement Officer to manage procurement operations, supplier relationships, inventory planning, and sourcing activities. The ideal candidate will have experience in procurement within a regulated environment and possess strong negotiation, analytical, and vendor management skills to ensure cost-effective and timely procurement of goods and services.

Key Responsibilities

  • Conduct supplier sourcing, evaluation, and selection processes.
  • Identify market trends, alternative sourcing opportunities, and cost-saving initiatives.
  • Build and maintain a reliable supplier network.
  • Prepare and issue RFQs/RFPs and evaluate supplier quotations.
  • Negotiate pricing, payment terms, delivery schedules, and service agreements.
  • Generate and manage Purchase Orders with accurate specifications and delivery requirements.
  • Achieve cost efficiencies while maintaining quality standards.
  • Maintain an approved supplier database and monitor supplier performance.
  • Coordinate supplier evaluations and performance reviews.
  • Assist in drafting and managing supply agreements.
  • Resolve supplier-related issues and ensure adherence to contractual obligations.
  • Coordinate with Stores and Operations teams to maintain optimum inventory levels.
  • Monitor stock levels, reorder points, and replenishment schedules.
  • Support implementation of FEFO/FIFO principles for pharmaceutical and healthcare products.
  • Minimize stock shortages and excess inventory.
  • Ensure procurement activities comply with company policies and regulatory requirements.
  • Maintain procurement documentation and approval workflows.
  • Promote ethical sourcing practices and transparency in procurement decisions.
  • Maintain complete procurement records including RFQs, quotations, purchase orders, invoices, delivery notes, and contracts.
  • Ensure procurement documentation is audit-ready at all times.
  • Support Finance in supplier reconciliations and invoice verification.
  • Collaborate with Finance, Stores, Operations, Sales, and Regulatory teams.
  • Communicate procurement lead times, risks, and supply challenges proactively.
  • Participate in planning meetings and provide procurement insights and recommendations.

Qualifications & Experience

Education

  • Bachelor's degree in Procurement, Supply Chain Management, Business Administration, or a related field.

Experience

  • 3–4 years of relevant procurement experience in pharmaceutical, healthcare, medical devices sectors is preferred.

  • Proven experience in sourcing, supplier negotiations, and procurement documentation.
