Overview
Facilitate patient visit by routing and scheduling patient visits. Will adjust provider and patient schedules based on patient needs.
Duties & Responsibilities
- Professionally and warmly communicate with patients over the phone.
- Book, cancel, and reschedule patient appointments, including annual wellness visits, transitional care management visits, and chronic care follow-ups.
- Optimize routes in routing software to accommodate the maximum number of patients per day.
- Communicate scheduling updates effectively to patients and community referral sources.
- Ensure high attention to detail and accuracy in patient and provider scheduling protocols.
- Provide timely communication to providers regarding schedule changes or updates to patient care needs.
- Transfer calls to registration and clinical staff when necessary.
Qualifications
- Experience in scheduling/routing software is preferred.
- Strong problem-solving skills with the ability to think quickly and use sound judgment in response to patient calls.
- Proficiency in computer applications, including Outlook, Excel, and electronic medical records (EMR) systems.
- High School Diploma or equivalent is required.
- Excellent verbal and written communication skills with the ability to present concepts clearly.
- Ability to build and manage relationships effectively with business leaders and external stakeholders.
- Strong ethics, teamwork, and adaptability in a fast-paced and entrepreneurial environment.

The working environment and physical requirements of the job include:
Work is performed remotely with a possible requirement to travel to the main office in Indianapolis for meetings periodically. This may be up to monthly if needed. Would need to be able to maintain an internet connection from working location at all times during business hours or be able to travel to the office or another secure location to work in the case of no access to internet.
In this position you will need to communicate with customers, vendors, management, and other co-workers in person and over devices, sometimes with people who are agitated. Regular use of the telephone and e-mail for communication is essential. Sitting for extended periods is common. Must be able to receive ordinary information and to prepare or inspect documents. Lifting of up to 10 lbs. occasionally may be required. Good manual dexterity for the use of common office equipment such as computer terminals, calculator, copiers, and FAX machines. Good reasoning ability is important. Able to understand and utilize management reports, memos, and other documents to conduct business.
