About You

The Executive Assistant should have the following qualifications:

  • Education: Associate’s degree required, Bachelor’s degree in a related field preferred
  • Experience: A minimum of five years of experience in high-volume office environment
  • Communication: Excellent verbal, written communication and presentation skill
  • Technology: Proficient in all Microsoft Office applications.
  • Relationships: Ability to build and effectively manage relationships with business leaders and external constituents; and,
  • Culture: Good judgement, impeccable ethics, and a strong team player; desire to succeed and grow in a fast-paced, demanding, and entrepreneurial Company.

About the Job

The Executive Assistant reports to the Regional Market President and supports the regional team. The candidate should embody CINQCARE’s core values, including, Trusted, Empathetic, Committed, Humble, Creative and Community-Minded.

The Executive Assistant will have the following responsibilities:

  • Proactively address administrative needs as the assigned executive’s delegate, including processing expense reports, requisitions, and shipping needs.
  • Coordinate complex travel arrangements, including airfare, lodging, ground transportation, and meals.
  • Manage assigned executives' calendars, ensuring strategic scheduling and efficient use of time.
  • Schedule appointments, conference calls, and meetings, and ensure meeting materials are prepared.
  • Interact diplomatically with various stakeholders in diverse situations.
  • Support the preparation of correspondence, presentations, reports, and other documents.
  • Answer and transfer phone calls, retrieve information from records, and assist with inquiries.
  • Support assigned executive’s use of technology and collaboration tools.
  • Manage additional special projects as assigned.
  • Prepare documents, presentations, and reports for internal and external use.
  • Coordinate event logistics, including virtual and in-person events.
  • Develop content for various purposes, such as marketing and communication.
  • Conduct simple data analysis to support decision-making.
  • Manage office supplies, ordering, and organization.
  • Assist with office management tasks as needed
  • And of course, perform other job-related duties as assigned.

The Executive Assistant will also have the following duties:

  • Collaboration: The Executive Assistant will working closely with all regional stakeholders to learn their needs, internalize their knowledge, and define solutions to achieve the business objectives of CINQCARE.
  • Culture: The Executive Assistant is accountable for creating a productive, collaborative, safe and inclusive work environment for their team and as part of the larger Company.

The working environment and physical requirements of this position include:

This position requires on-site work. The job is performed indoors in a traditional office setting with conditioned air, artificial light, and an open work space.

In this position you will need an ability to communicate customers, vendors, management, and other co-workers in person and over devices, sometimes with people who are agitated. Regular use of the telephone and e-mail for communication is essential. Sitting for extended periods is common. Must be able to receive ordinary information and to prepare or inspect documents. Lifting of up to 30 lbs. occasionally may be required. Good manual dexterity for the use of common office equipment such as computer terminals, calculator, copiers, and FAX machines. Good reasoning ability is important. Able to understand and utilize management reports, memos, and other documents to conduct business.
