Overview
The Executive Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. with accountability for providing strategy, judgment, organization, and evidenced-based analysis to influence decisions, and directly to meet CINQCARE requirements. They should embody CINQCARE core values, including, Trusted, Empathetic, Committed, Humble, Creative and Community-Minded.
Duties & Responsibilities
• Proactively address administrative needs, in particular workday transactions as the assigned executive’s delegate, including expense reports, requisitions, shipping needs, and maintaining up-to-date contact lists and addresses.
• Manage all assigned executive travel arrangements and coordinate complex multi-day meeting logistics, including booking airfare, preparing daily agendas, securing lodging, ground transportation, meals, and expense reports.
• Coordinate executive calendars in an intentional and strategic manner, including managing confidential or highly urgent meetings and frequent change requests.
• Proactively manage extremely active calendars based on priorities and relationship management.
• Schedule conference calls, video conferences, and in-person meetings for assigned executives with internal and external stakeholders.
• Ensure meeting materials are adequately prepared and organized and manage logistical arrangements including security clearances, video conferencing, and catering.
• Engage daily with diverse individuals using tact, discretion, diplomacy, sensitivity, creativity, and accountability.
• Support preparation of Word, Excel, and PowerPoint correspondence, announcements, presentations, agendas, reports, and special projects.
• Ensure accurate and timely information delivery to leaders and stakeholders.
• Answer and screen phone calls when necessary.
• Retrieve information from records, email, minutes, and other documents and prepare written summaries as needed.
• Manage high-volume coordination of travel, meetings, and appointments for managers, staff, and candidates.
• Manage technology and collaboration tools such as Zoom, Teams channels, and distribution lists.
• Perform additional administrative duties and special projects as assigned.
• Leadership: Lead in defining and executing strategies and solutions to create business value.
• Strategy: Establish strategies to improve outcomes for CINQCARE Family Members, enhance business divisions, and develop market opportunities.
• Collaboration: Ensure capabilities form a cohesive offering through cross-functional collaboration.
• Knowledge: Provide subject matter expertise, including innovative approaches for outreach, solution deployment, and performance evaluation.
• Culture: Create a productive, collaborative, safe, and inclusive work environment.
Qualifications
- Education:
• Minimum Associates Arts Degree required. Bachelor’s degree preferred or equivalent experience.
Experience:
• Three to five years of administrative experience; proficiency in Microsoft Office Suite. Demonstrated track record of collaborative leadership in a global, diverse team environment.

The working environment and physical requirements of the job include:
In-office work is performed indoors in a traditional office setting with conditioned air, artificial light, and an open workspace.
In this position you will need to communicate with customers, vendors, management, and other co-workers in person and over devices, sometimes with people who are agitated. Regular use of the telephone and e-mail for communication is essential. Sitting for extended periods is common. Must be able to receive ordinary information and to prepare or inspect documents. Lifting of up to 10 lbs. occasionally may be required. Good manual dexterity for the use of common office equipment such as computer terminals, calculator, copiers, and FAX machines. Good reasoning ability is important. Able to understand and utilize management reports, memos, and other documents to conduct business.
