A leading university is seeking a Facilities Specialist 3 to support the operations, maintenance, safety, and administration of complex research and academic facilities by coordinating building services, managing maintenance activities, overseeing vendors and projects.

Facilities Specialist 3 Responsibilities:

  • Serve as the primary facilities operations contact for complex buildings by coordinating maintenance, repairs, renovations, preventive maintenance, inspections, utilities, custodial services, grounds, pest control, alarms, equipment, and building systems while monitoring budgets, tracking work orders, and recommending operational improvements.
  • Manage facility administration by maintaining purchase orders, receiving, inventory, asset tagging, recordkeeping, space allocation data, tracking systems, building access, security programs, communications, shipping, deliveries, and coordination with internal departments, faculty, and external vendors.
  • Coordinate small facilities projects from planning through implementation by managing schedules, budgets, contractors, maintenance logistics, space planning, office and laboratory moves, capital improvement activities, and vendor performance while minimizing operational disruptions.
  • Lead facility safety and compliance activities by supporting emergency preparedness, hazardous waste and chemical management, corrective actions, safety training, root cause analysis, regulatory compliance, and laboratory and building safety programs.
  • Analyze facility, financial, space, and utility data to identify trends, improve operational efficiency, support cost reduction initiatives, troubleshoot building issues, and provide exceptional customer service while independently managing multiple priorities with minimal supervision.

Facilities Specialist 3 Qualifications:

  • 5+ years of demonstrated technical facilities management experience, or an equivalent combination of education and relevant experience.
  • Bachelor's degree.
  • Experience supporting laboratory, research, higher education, commercial, or complex facilities operations, maintenance, building systems, and property administration.
  • Strong knowledge of facilities operations, preventive maintenance, renovations, vendor management, project coordination, budgeting, inventory control, purchase orders, receiving, and space management.
  • Experience supporting laboratory operations, hazardous materials and waste handling, chemical inventory, emergency preparedness, safety compliance, and regulatory requirements is preferred.
  • Proficiency with Microsoft Excel, Word, PowerPoint, Microsoft Project, and other facilities management or work order systems.
  • Valid California Class C driver's license.

Shift:

  • Monday to Friday, 7:00 AM to 4:00 PM; availability for emergency response outside normal business hours as needed.
