Job Description

Title:  Development Assistant (Full-time/Non-exempt)

Organizational Overview

Founded in 1980, Voices for Children (VFC) advocates for the rights and well-being of San Diego’s abused children in the courtroom, in school, and in the community, through its dedicated network of staff and volunteers.  Our mission is to ensure that foster children who have become dependents of the San Diego County Court will have a safe and permanent home.  Recruited, trained, and supervised by VFC, our volunteer Court Appointed Special Advocates (CASAs) interface with key agencies, legal counsel, and community resources to identify and protect the best interests of each foster child.  CASAs are empowered to act as fact finders for the juvenile court judge to ensure decisions and rulings are based on the most current and pertinent information about each child’s situation.  CASAs also provide emotional support as they guide their case children through the complex foster care system.  CASAs strive to ensure that each child’s needs are met.  In FY2014-15, VFC will raise 97% of its $5,400,000 budget from private donors:  individuals, foundations, and corporations.  The Development and Communications/Marketing team is responsible for securing these operational funds.  There are 58 full-time staff and 8 part-time staff at VFC.

Development Assistant Job Responsibilities

  • Provide general administrative support to the Development & Communications/Marketing department. 
  • Under the direction of the Stewardship Manager, input donor data into the Raiser’s Edge database, assist with production of acknowledgement letters, mail receipts, and otherwise assist with gift acknowledgment and maintenance of complete and accurate donor records within Raiser’s Edge.
  • Create thank-you letters for volunteers that are resigning or taking a leave of absence; update volunteers’ new status accordingly in Raiser’s Edge.
  • Create and/or run fundraising reports and mailing lists from Raiser’s Edge.
  • Answer phone calls or emails from donors in a timely and considerate manner or forward them to the appropriate department member. 
  • Maintain electronic and paper files on donors as needed.
  • Assemble and mail out information packets to prospective donors.
  • Coordinate logistics for departmental meetings, record minutes, maintain the departmental calendar.
  • Assist the Events & Development Associate with the sale of Starfish Store merchandise.
  • Assist with registration duties at off-site events.

Assist in other duties and special projects as assigned.

Required Skills

The successful candidate will have excellent organizational, time-management, project management, interpersonal, verbal, and written communication skills.  He/she will have the ability to work effectively, diplomatically, and tactfully at all levels with those internal and external to the organization, maintaining standards of confidentiality, discretion, and professionalism.  In addition, we seek a candidate with the following characteristics:

  • A positive, upbeat outlook and a willingness to learn.
  • The ability to multi-task, prioritize, and meet deadlines in an independent setting.
  • Very detail-oriented, accurate, and precise, with proofreading/editing/writing ability and experience.
  • Proficiency and experience in the full and current Microsoft Office suite, and experience in the use of technology, office equipment, and productivity software.


  • A Bachelor’s degree is preferred with one to three years’ experience in administrative work, ideally in a nonprofit setting.  Fundraising experience a plus.
  • Must have prior experience with database management; experience with Raiser’s Edge or other nonprofit database programs (such as Tessitura, Donor Perfect, or Sage) is preferred but not required. 
  • Must have a valid CA driver’s license and provide proof of current automobile insurance coverage, as well as access to an automobile for local travel.
  • Must meet the background screening requirements of Voices for Children.

Additional Information

This is a full-time, non-exempt position. Standard workweek is 40 hours, Monday through Friday from 8:30am to 5:00pm with a half-hour lunch break. Evenings and weekends are occasionally required as related to events. Vacation, medical and other benefits consistent with Board-adopted personnel policies.
