Billings & Data Specialist

Finance | Westbrook, ME | Full Time

Job Description

The Billing Specialist role is responsible for the accuracy of invoices and related subledger inputs,  and will assist with process improvement and development of related internal controls. This position will report to the Director of Revenue Operations.


  • Review and reconcile billings daily to ensure invoices match contracts

  • Ensure accuracy of invoices related to subledger inputs

  • Manage contracts within contract management system, identify missing contracts/contract issues

  • Assist in process improvements to develop internal controls

  • Assist the internal Sales, Support, and Client Success teams with billing inquiries, and ensure proper billing protocols are performed for each client

  • Identify issues attributed to billing discrepancies and discuss with management

  • Provide collections support during peak periods

  • Assist with sales tax calculation and filing, monitor data in system

  • Assist with audit-based tasks as requested 

  • Assist with development of KPI, A/R aging and rep performance reports

  • Perform month-end reporting for credit card activity and sales tax as well as assist with monthly board call reporting

  • Other accounting/finance projects as assigned

Experience and Skills

  • Minimum of 5 years of corporate billings & collections or other related accounting experience

  • Strong communication, both written and oral

  • Problem solving and analytical skills required

  • Ability to work independently and adapt to a fast-changing environment

  • Proficient in MS Office environment with intermediate or advanced Excel skills

  • Proficient in Salesforce

  • Accounting software background 

  • Must have attention to detail with an eye for accuracy

  • Creative, self-disciplined and capable of identifying and completing critical tasks independently and with a sense of urgency

  • A positive and proactive mindset

  • Associate’s degree required; Bachelor’s degree preferred; Accounting background preferred
