Under general supervision the Project Coordinator will:

  • Coordinate all administrative functions for grant start up
  • Ensure that all project administrative start up needs are delivered on-time and within scope
  • Assist in the definition of grant-start up needs and objectives, involving all relevant stakeholders and ensuring technical feasibility
  • Collect all requirements and transform it into a project plan with milestones for each grant start up, translating milestones into tasks, schedule and assign tasks
  • Work with team on grant start up work to keep project going according to schedule
  • Communicate to the program management changes to the milestones or tasks due dates
  • Report and escalate issues (including delays) to management as needed
  • Communicate regularly with program managers on grant deliverables 
  • Create and maintain comprehensive project documentation
  • Close project and documentation, pass project deliverables to operations.
  • Opening and Closing Facilities – Follow process and list
  • Able to use Project Software for all projects
  • Other duties as assigned


  • Bachelor’s degree or equivalent project coordination experience
  • Strong analytical and problem solving skills
  • Ability to work well with large and diverse teams
  • Ability to work under pressure
  • At least 1 year experience working with project software
  • Experience with task scheduling and resource assignment
  • Experience with project management practices and tools to create, manage, and track project performance                                   
  • Excellent client-facing and internal communication skills
  • Excellent written and verbal communication skills
  • Solid organizational and time management skills including attention to detail and multitasking skills
  • Experienced user of MS Office tool set (Word, Excel and PowerPoint)
