JOB SUMMARY AND PURPOSE

The Office Assistant will provide administrative, secretarial and clerical support to others in the office to maintain an efficient office environment.


 DUTIES AND RESPONSIBILITIES

  • Perform general office duties such as identifying and organizing documents for electronic archiving, photocopying, validating scan results, and identification of documents that are to be re-scanned.
  • Destruction of documents by shredding.
  • Perform detail data audits.
  • Compute, record, and/or proofread data and other information, such as records or reports.
  • Compile information and prepare forms and maintain records as needed.
  • Count, weigh, measure, and/or organize materials.
  • Other duties as required and is subject to change at any time.

Qualifications

EDUCATION 
Formal education, diplomas, degrees, licenses and/or certifications.

  • High school diploma (or GED/High School Equivalence Certificate).
  • Must be over the age of 18 years.


EXPERIENCE 
Type and number of years of directly related work experience.

  •  Experience in a course of study or work that requires attention to detail.

TECHNOLOGY SKILLS 
The skills required to perform the essential functions of the position.

  • Basic computer and Microsoft operating system navigation.  
  • Experienced and familiarity working with Microsoft Word and Excel.


SKILLS and ABILITIES 
Skills and abilities required to meet the essential functions of the position – what one does.

  • Excellent interpersonal skills including relationship building.
  • Excellent oral and written communication skills.
  • Working knowledge of file navigation and archiving to network locations.


INTERPERSONAL CHARACTERISTICS 

  • Prompt, collaborative, team player, adaptable, communicator, organized, consistent, and compassionate.

Preferred Qualifications:  

  • Experience in a course of study or work that requires attention to detail.
  • Minimum of 1 year of general office or clerical experience.
  • Valid California driver's license, adequate insurance, and/or any dependable mode of transportation.
