The Administrative Assistant duties are summarized as:

  • Supports the Program Manager with the coordination of office services
  • Ensures the team is kept apprised of meetings and compliance deadlines
  • Answers telephones, refers calls and distributes messages to respective parties
  • Schedules appointments and meetings
  • Maintains confidential files, coordination of personnel records, facility requirements and licensing regulations
  • Coordinates collection and preparation of operating reports, attendance records, terminations, new hires, and budget expenditures
  • Works with VOALA Corporate office to coordinate purchasing procurement, accounts payable and personnel
  • Conducts regular audits to assure accuracy of data
  • Studies management methods in order to improve workflow and simplify reporting procedures
  • Implements program operating practices, and recommends development of new systems or revision of established procedures
  • Serves as liaison with regulating and licensing agencies to insure compliance corrective action and accurate timely responses
  • May assist in preparation of budget needs and annual reports of the delegate agency
  • Coordinate orientation of new employees, and initiates training programs
  • Perform clerical work requiring independent judgment. Take and transcribe dictation and meeting notes
  • Type correspondences reports, memoranda, proposals, and financial statements. Maintains informational and/or operational records
  • Insert and extract materials from master files, classifies material by nature of subject matter, and prepare and create new file folders as needed
  • Participate in organizational functions
  • Perform other related duties as assigned
  • Other duties as assigned


  • Bachelor's degree in social work or related field, experience will be considered in lieu of education
  • Minimum of 2 years of general office, administration and/or clerical experience preferred
  • Experience with managing public contacts required
  • Experience with report development for public funders required
  • Effective written and oral communication skills
  • Excellent computer skills (Microsoft Word, Power Point, Publisher, and Excel)
  • Preferred experience in working with crisis intervention(s)
  • HMlS database experience strongly preferred
  • Effective written and oral communication skills; bilingual (Spanish) preferred
  • Must have experience in working with all types of homeless populations

Additional Requirements:

  • Current California driver's license and clean driving record
  • Team leadership, stress and time management skills
  • Tuberculosis screening updated annually
  • Must be over the age of 18
