The Administrative Assistant

  • Supports the Program Manager for Jail-in Reach/Office of Diversion and Reentry with the coordination of office services
  • Ensures the team is kept apprised of meetings and compliance deadlines
  • Answers telephones, refers calls and distributes messages to respective parties. Schedules appointments and meetings
  • Maintains confidential files, coordination of personnel records, facility requirements and licensing regulations 
  • Coordinates collection and preparation of operating reports, attendance records, terminations, new hires, and budget expenditures
  • Works with VOALA Corporate office to coordinate purchasing procurement, accounts payable and personnel
  • Verifies, corrects and enters participants information into centralized database; conducts regular audits to assure accuracy of data
  • Coordinates with Case Managers to ensure CHAMP intake requirements are met
  • Other duties as assigned


  • Associates Degree preferred
  • Minimum of 2 years' experience in an administrative office environment
  • Knowledge of office procedures
  • Effective written and oral communication skills
  • Intermediate knowledge of Microsoft office

Additional Requirements:

  • Current California driver's license and clean driving record
  • Team leadership, stress and time management skills
