SOUTH LA WOMEN’S SHELTER

The South LA Women’s Center provides a diverse group of services, including: same-sex homeless shelter, Comprehensive Case Management Services, Affordable Housing Assistance, Transitional Housing Programs, Permanent Housing Placements, JWCH Mobile Clinic, Department of Health Services, USC-HIV Study/Prevention.

JOB SUMMARY AND PURPOSE

The Information Technology Department supports both Corporate headquarters and remote program locations, the Admin Asst I provides general office support, and receives and monitors Information Technology (IT) service requests, receiving incoming calls, e-mails and hard copy service requests.   Establishes and maintains cooperative and harmonious working relationships with corporate and program staff, workers, and vendors.

DUTIES AND RESPONSIBILITIES

The Admin Asst I will assist in the day-to-day operations of the IT Department by performing the following duties:

  • Answers telephone, e-mails, and replies to questions / Service Requests accordingly
  • Filing and assisting other IT Department staff when required.
  • Prepare all needed documents for department projects
  • Maintains department files, purchase orders, and other related documents
  • Assist in organizing and processing invoices
  • Coordinates with the accounting department on invoice status and check request
  • Participate and assist in organizational functions and events.
  • Database entry as directed.
  • Orders office supplies, type, create, and mail correspondence.
  • Maintains informational and/or operational documents.

Qualifications

REQUIREMENTS:

  • Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications

EDUCATION:

  • High School Diploma or GED 

EXPERIENCE:

  • 2 years of office and/or clerical experience; coursework or a formal degree or certification in Business Administration or related discipline can be combined with relevant experience to meet the time requirement.

KNOWLEDGE:

  • 2 years of office and/or clerical experience; coursework or a formal degree or certification in Business Administration or related discipline can be combined with relevant experience to meet the time requirement.

TECHNOLOGY SKILLS:

  • Proficient Computer skills and working knowledge of Microsoft Office, specifically Word, Excel, and Outlook.  Familiar with Database operation/entry

SKILLS AND ABILITIES:

  • Ability to communicate clearly and professionally.
  • Ability to accurately and effectively compose correspondence and reports.
  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards, with or without reasonable accommodation, including meeting qualitative and quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with ADA, FMLA, and other federal, state, and local standards.

INTERPERSONAL CHARACTERISTICS:

  • Prompt, team player, and regular attendance.

PREFERRED QUALIFICATIONS:

  • Working towards a Bachelor’s Degree in Business Administration, Management, or related field.
  • Bilingual in English and Spanish (written and verbal).
