You will be joining a dynamic, mission-driven company as we start to scale. This is a full-time role at our vibrant office in downtown San Francisco. The role reports to the CFO.
Who You Are
We are seeking an Office Manager who will be the Vida’s San Francisco headquarters ambassador to all matters related to the Office and Coordination. The ideal candidate is someone who has solid organizational skills and is familiar with tasks. Should be experienced in working on a People Operations team handling a wide range of administrative and support related tasks. Is able to work independently with little or no supervision; thrives in a fast paced environment, is comfortable handling ambiguity and ever changing last minute priorities.
You are the go to person in our San Francisco office all matters related to the Office Coordination.
Prepare reports, presentations and related metrics for People Operations, Office Management and Recruitment.
Responsible for candidate interview scheduling, handling travel logistics, lunches, candidate meet & greet, etc. for external and internal applicants.
You will be the point person to address all employees’ queries related to office management issues (e.g. supplies, Hardware, etc.) and make sure everything in the office is running smoothly!
Assist in the All Hands meetings for success (timing, audio, video, etc).
Ordering lunches, snacks and supplies for the office.
Actively participating in the organization and scheduling of company events, meetings, etc.
Passion for people and ability to proactively “get things done” in a fast paced environment.
Creative mindset to solve issues and to embrace changes.
- BA or BS degree.
Minimum 2+ years of experience in Office Management role is required.
Have experience scheduling high volume of candidate interviews, coordinating travel, arranging conference rooms, lunches, etc.
Familiarity with employee benefits, payroll and policies, as well as willingness to learn about it.
Good time management skills and proven ability to multitask and prioritize work.
Managing day-to-day relations with Vida service providers, building management, etc.
Detail-oriented with good business acumen, strong organizational and planning skills..
You are a driven, positive "people person" who understands the importance of being a trusted ambassador as the point of contact for our colleagues.
Excellent written, verbal and interpersonal communication skills are required.
