This role involves creating a vibrant, high-functioning workspace where our team and clients feel supported, inspired, and connected. What We Are Looking For

  • 3-10 years of experience in hospitality or professional services, project management, operations, office management, and/or executive administration roles
  • Willingness to work in our beautiful San Francisco office 3 to 5 days a week
  • Experience partnering with an IT vendor and confidence supporting employees with basic technology needs
  • Comfortable digesting large data sets and working in Microsoft excel
  • Able to lift and move boxes up to 50 lbs.
  • A clear focus and passion around enabling people to do their best work
  • A strong initiative and “can-do” attitude, with an ability to self-motivate, work independently, and anticipate needs
  • A high level of emotional intelligence and an interest in personal development & human potential and growth

The Role

In this role, you will ensure that our team is equipped to thrive in a welcoming environment thoughtfully designed for function and comfort. In parallel, you will manage our top-tier technology stack, supporting seamless collaboration for both our San Francisco office and remote team members.

You will draw on your expertise in operations and facilities management, strong project management skills, and communication mastery to execute the core responsibilities of this role.

  • Facilities
    • Provide administrative support and be go-to resource for client offsites hosted at the office.
      Manage office vendor relationships, including billing and accounting for facilities-related expenses.
    • Maintain office cleanliness throughout the day and ensure the office is always presentable to clients, employees, and visitors.
    • Order and keep inventory of office and kitchen supplies, restock daily or as needed.
    • Serve as internal project manager for any office remodeling projects or office reorganization.
    • Serve as the main point of contact for building security and maintenance.
    • Receive and send packages as needed.
  • Employee & Client Experience
    • Provide high-touch support to our Trium team and visiting clients throughout the workday, ensuring colleagues have the resources and a comfortable environment to do their best work.
    • Coordinate the scheduling of new hire onboarding and support in-office.
    • Contribute to culture-building efforts and have an eye towards employee satisfaction, including helping to manage team meetings, internal team offsites, office lunches, and parties.
    • Answer the phone and provide a welcoming experience for all guests who enter the space.
  • Technology
    • Manage IT relationship with external IT vendor. Serve as an escalation point for any IT-related issues internally and effectively project manage any IT projects to create more efficiency.
    • Serve as a power user for IT software, including Zoom, Dropbox, Outlook, HubSpot, and Slack to train employees and troubleshoot issues.
    • Manage employee onboarding and offboarding with IT vendor.
    • Maintain IT budget, including accounting for all subscription services.
  • Operations
    • Collaborate with operations team members on special projects to elevate the firm’s capabilities and optimize our efficiency, e.g., researching and rolling out new software solutions as needed.
    • Collaborate with finance team to oversee travel expense platform and code monthly expenses.
    • Actively participate in and contribute to the culture of the operations community through collaboration, sharing of best practices, periodic facilitation of internal Operations meetings, fostering connection and relationship, supporting one another, etc.
    • Engage in special projects as needed for the firm.
    • Collaborate, partner, and pitch in; Everyone on the Trium team rolls up their sleeves, regardless of position, title, or experience, and is accountable for creating exceptional experiences for our clients.

Details, Compensation & Benefits

  • Internal Title: Office Manager
  • Location: San Francisco (at least 3 days per week in the office + additional days when Trium is hosting client offsites)
  • Type: Full-time
  • Compensation: $65K-90K base salary. Based on pay transparency guidelines, a reasonable expectation for the salary range is listed. Actual base salary will be dependent on relevant experience, skills, qualifications, and/or other job-related factors. As a part of the total compensation package, this role may be eligible to participate in a company bonus plan.
