What We Are Looking For

  • 10+ years of experience in executive administrative or project management roles
  • Robust exposure to strategy, business development, and high-profile external stakeholders at the C-level
  • A high level of emotional intelligence coupled with a detailed & analytical approach to your work
  • Hyper-organization and conscientiousness with outstanding execution skills
  • A confident and concise communicator, both written and verbal, who enjoys getting to know people and leverages strong EQ to establish new relationships internally and with clients
  • A strong initiative and “can do” attitude, with an ability to self-motivate, work independently and anticipate needs
  • A knack for getting in the weeds and taking immense pride in attention to detail coupled with the ability to zoom out to keep one eye on the bigger picture
  • A clear focus and passion around enabling people to do their best work
  • Ability to be in the San Francisco office 1-2 days per week and as needed for offsites and important meetings

The Role

This role centers around the following responsibilities:

Administration

  • Work closely with the Founder & Chairman providing direct support around managing email, scheduling, priorities, business development communications and opportunity tracking, and project logistics
  • Keep Founder well-informed of upcoming commitments and responsibilities, and help him manage and track all follow ups as appropriate
  • Manage Founder’s LinkedIn profile and CRM, and drive coordination and tracking of potential BD and networking opportunities
  • Serve as the primary point of contact for scheduling coordination with clients, prospects, and/or third party vendors
  • Prioritize lists based on shifting dynamics and proactively determine appropriate course of action, referral, or response with a high level of confidentiality
  • Draft clear and articulate correspondences on behalf of Founder
  • Book domestic and international travel and plan/manage complex itineraries

Project Management

  • Structure, lead and execute all operational aspects of complex client projects from start to finish, including scheduling client diagnostic interviews and other client meetings
  • Accurately capture and synthesize large quantities of information during client interactions, meetings, interviews, etc.
  • Manage events for internal and external activities, including space rental, catering, AV setup, coordinating with client teams, including occasional travel to client site
  • Draft clear, compelling, and visually appealing documents using PowerPoint and other mediums to bring a story or concept to life
  • Build effective relationships with the support staff of our clients

Operational Improvement

  • Special projects as needed for the firm, especially when the Founder is on extended vacation over the summer
  • Develop strategies and systems that elevate the firm’s capabilities for seamless operations internally and an excellent client experience
  • Be seen as a credible and go-to resource on project and event logistics
  • Actively participate in and contribute to the culture of the operations community through collaboration, sharing of best practices, periodic facilitation of internal Operations meetings, fostering connection and relationship, supporting one another, etc.
  • Engage as a cross-functional ambassador of the Founder, connecting the dots across the firm and surfacing important context to him
  • Collaborate, partner, and pitch in; Everyone on the Trium team rolls up their sleeves, regardless of position, title, or experience, and is accountable for creating amazing experiences for our clients

Details, Compensation & Benefits

  • Internal Title: Sr. Operations Manager
  • Location: San Francisco Bay Area - Hybrid with 1-2 days per week in the office
  • Type: Full-time
  • Compensation: $130-160K base salary. Based on pay transparency guidelines, a reasonable expectation for the salary range is listed. Actual base salary will be dependent on relevant experience, skills, qualifications, and/or other job-related factors. As a part of the total compensation package, this role may be eligible to participate in a company bonus plan.
