Job Description

The Executive Assistant will provide administrative and personal support to the Chief Executive Officer.

In addition to being responsible for managing the CEO’s full and dynamic calendar, the Executive Assistant will attend meetings and complete tasks on his behalf.

  • Work closely with the Chief Executive Officer(CEO), and other members across the Organization including coordination with the Executive Coordinator and team members in the Organization

  • Excited to work in a “hands-on”, “get-things-done” position.

  • Management and organization of calendars, including coordination and scheduling of meetings

  • Recording of accurate, well-written and professional meeting minutes and tasks following such meetings

  • Creation of Excel reports

  • Management of CEO email inbox and communications

  • Follow-up with team members regarding task status, due dates and associated reporting

  • Answer and follow-up on incoming calls, support tickets and other work items

  • Event planning and coordination – including securing of reservations and all associated arrangements for such events

  • Work with external support to coordinate and schedule maintenance activities

  • Clerical duties to include filing, organization of physical equipment (cables, labeling etc.), bookkeeping/accounting functions, organization of digital media, licenses and documentation

  • Expense report generation assistance

  • Assist the CEO and COO with HR/Recruitment tasks, pre-screening, job postings, legal/immigration and correspondence with attorneys, reporting, team building/technical event planning activities

  • Perform other duties, as assigned

What you’ll need:

  • At least 1+ years of experience

  • Exceptional communication skills; adept at interacting with staff, vendors, and personal contacts

  • High level attention to detail, accuracy and precision

  • Discretion and sensitivity regarding confidential information

  • Ability to thrive in a dynamic, ever-changing environment

  • Bachelor’s Degree or higher

  • Experience with Microsoft Excel, reporting and chart generation

  • Knowledge of Gmail, Word and PowerPoint

  • Excellent written and spoken communication skills

  • Previous Assistant/Administration experience a plus

Compensation:

Depends on Experience

Salary: $20,000/year - $30,000/year
