POSITION:              Part-Time Office Assistant

LOCATION:             Heyburn, Idaho

Job Summary

The Office Assistant is a critical role that provides support to the Outside Shop Manager.  Teamwork and customer service skills are vitally important as the Assistant works directly and indirectly with customers, vendors, employees, supervisors and managers.  The Assistant acts as the liaison between the Outside Shop and Main Office.  The Assistant will provide support to multiple departments including Finance, Sales, Service, and Human Resources in completing various duties and tasks.  The Assistant will consistently demonstrate a high level of responsibility and accountability, working in the most effective and efficient manner possible.


Essential Duties and Responsibilities
Other duties and responsibilities may be assigned as necessary

  • Post warranty claim credits and distribute invoices to customer, providing duplicate copies of invoices to customers as necessary;
  • Assist Accounts Receivable and Accounts Payable with resolving customer or vendor issues and discrepancies;
  • Monitor daily invoice distributions for correct coding and post invoices, debit memos, and credit memos;
  • Perform weekly journal reconciliations, check for correct coding, and post necessary transactions;
  • Accurately and timely process billable and non-billable SROs;
  • Accurately and timely process orders using point of sale module in ERP system;
  • Receive and process incoming purchased and manufactured parts;
  • Assist in cycle counts and inventory management as needed;
  • Forward all necessary paperwork to main office such as invoices and statements, documentation for Accounts Receivable and Accounts Payable, correspondence materials, and all other necessary paperwork and documents;
  • Maintain appropriate levels of office supplies and submit orders to appropriate vendors as necessary;
  • Greet customers and vendors as they arrive and assist them in finding the appropriate party;
  • Answer incoming phone calls in a timely, professional, and positive fashion and forward calls to the appropriate party, taking and delivering messages when necessary;
  • Perform light housekeeping as needed;
  • Assist Human Resources with employee paperwork and procedures.

  • Minimum one year certificate from college or technical school in Office Technology or similar discipline, or three to six months related experience and/or training;
  • Ability to successful pass background and credit check;
  • Perform 10-Key by touch and type 45 wpm;
  • Fluent in basic math skills (addition, subtraction, multiplication, and division);
  • Ability to successfully manage multiple projects and deadlines;
  • Excellent troubleshooting, critical thinking, and analytical skills;
  • Excellent communication skills, both written and verbal;
  • Ability to effectively work with ERP system, spreadsheets, word processing documents, and other applicable computer systems and software.

 Machines Typically Operated

  • Basic clerical machines including computer, printer, adding machine, multiline telephone system, fax machine, postal machine, etc.;
  • Other machines or equipment specific to departmental or facility needs.

 Typical Physical Requirements

  • Light work involving:

Typical Environmental Conditions

  • Activities occur inside the office with protection from weather conditions but not necessarily temperature changes.  There is not substantial exposure to adverse environmental conditions.  High stress levels with customer expectations may occur during peak seasons.

PAY:   Depending on Experience; Starting at $13.00/hr.
