POSITION:                            Secretary 3 (Full-Time)

                                              Administration

 

PAY GRADE:                         8

 

WAGE:                                   $23,108 (plus an excellent benefit package)

 

ESSENTIAL FUNCTIONS:   

               

  • Performs a series of specialized tasks or procedures directly related to agency administration.
  • Contributes to team effort by accomplishing related results as needed, coordinating and/or facilitating workflow.
  • Provides general administrative and office support including mailing, scanning, faxing and copying for senior management or Executive Director.
  • Contributes to team effort by accomplishing related results as needed, coordinating and/or facilitating workflow.
  • Maintains electronic and hard copy filing system in an accurate, logical and timely manner.
  • Coordinates meetings and conference calls as needed or requested.
  • Prepares meeting, contract and licensing materials, as directed.
  • Demonstrates excellent customer service skills.
  • Coordinates between departments and operating units in resolving day-to-day administrative and operational problems.
  • Performs multifaceted general administrative and office support.
  • Maintains involvement in special projects as directed by senior management or Executive Director.
  • Prepares and edits correspondence, reports and presentations.
  • Adheres to all policies, laws, regulations and codes of ethics and confidentiality as outlined by federal and state laws, and agency policies and procedures.

 

QUALIFCATIONS:

  • Associate Degree in Business or five years' experience; or any equivalent combination of skills, experience and training may be considered at the discretion of the agency.
  • Demonstrated knowledge and proficiency with Microsoft Word and Outlook.
  • Demonstrated knowledge and proficiency with Excel spreadsheets.
  • Demonstrated knowledge of office procedures and organizational skills.
  • Demonstrated ability to establish and maintain effective working relationships with internal staff and external vendors and providers.
  • Must successfully obtain Criminal History Clearance from the Pennsylvania State Police, Child                             Abuse Clearance from the PA Department of Human Services, and FBI Fingerprint Clearances.
  • Must not be excluded from participation in Medicare, Medicaid or any other federal health care                         program.  
  • Must be able to travel to multiple sites within the SW Pennsylvania region.
  • Demonstrated strong attention to detail, including deadlines.
  • Demonstrated strong organizational skills.
  • Demonstrated ability to prepare concise, cogent reports, documents and other agency materials.       
  • Must be able to maintain a professional and positive service attitude at all times.
