Sales and Marketing Coordinator

Operations | Hybrid in Santa Rosa, CA | Full Time | From $27.00 to $28.25 per hour

Job Description

Sonoma County Tourism (SCT) is seeking a dynamic and creative individual to serve as the organization’s Sales and Marketing Coordinator. One of two program coordinators, this role plays a critical part in helping ensure Sonoma County Tourism’s (SCT) Marketing and Sales efforts are partner-focused, results-driven and executed at the highest possible level. The Coordinator works with peers across the organization to help achieve the mission, vision and goals of the organization.

Summary

Leveraging SCT’s Life Opens Up brand as the guiding principle, the Sales and Marketing Coordinator supports the Marketing and Sales teams in both day-to-day efforts and long-term strategic goals. This is accomplished through a variety of channels and tactics that elevate Sonoma County and its offerings among key constituent audiences. Supporting two groups requires the ability to prioritize, juggle many projects and work with internal teams, external vendors and Sonoma County’s tourism industry partners.

Essential Duties & Responsibilities

CRM, Database Management

· Marketing Customer Relationship Management (CRM) Database Updates

a. Process partner-provided special event/offerings into CRM platform and ensure information listed correctly on the Website

b. Input social media posts into CRM platform

c. Conduct ongoing audits and updates to ensure Ai-driven vendor database matches with SCT’s CRM

· Sales CRM Updates and Management

a. Serve as primary lead catcher for RFPs that come through various sales platforms

b. Provide data entry of RFPs received, team events and sales-related activities

c. Coordinate the department’s production reports

Digital Marketing

· AI platform

a. Review partner profiles on AI platform and ensure information is correct

· Sonoma County App

a. Review new/closed business have synced properly to app

b. Review new business geofence location populated in the correct location

c. Review closed business geofences have been removed

· Website

a. Review new business synced to the website properly with all the correct information and format

b. Scrub the website for closed business & partner changes (name change, location change) to identify articles/pages that content team will need to update.

Sales

· Provide administrative support for the Sales team including coordinating tradeshow, familiarization tours and client event logistics.

· Administer data entry and maintenance of departmental tracking forms:

a. Sales tracking and performance: Meeting planner incentive programs, clients lists, sales production, tags, site tours, etc.

b. Trip Reports: Ensure team completes a trip report following each event and it’s uploaded into the Hospitality Hub; work with team to create the communications messaging and send notification of the updated Report to partners.

c. Ensure the travel calendar is updated

· Coordinate the timeline and distribution of the Sales Insights Newsletter

Administration

· Manage logistics for the Marketing and Sales Committee meetings. This includes helping develop the agenda, communicating with committee members regarding the meeting details, ensuring all information is entered into Board meeting platform, taking notes at the meeting and providing follow-up as needed.

· Monitor Marketing and Sales general email inboxes and respond/distribute as appropriate.

· Work with the Marketing and Sales teams to track Key Performance Indicators (KPIs) as outlined in the strategic plan.

· Manage giveaways ordering, branding and distribution.

· Work with teams to develop monthly board report and other materials for the board meetings.

· Liaise with other departments as needed.

· Provide general office assistance (photocopying, mailings, research, etc).


Experience

Required Experience

· 2–4 years of experience in marketing coordination, sales support, tourism/hospitality marketing, or a similar administrative or program support role.

· Experience working with CRM or database platforms (such as Simpleview, SalesForce or similar), including data entry, quality control and reporting.

· Experience supporting digital marketing or website content updates, including maintaining listings, events, or partner profiles across digital platforms.

· Demonstrated ability to manage multiple projects simultaneously while maintaining strong attention to detail and meeting deadlines.

· Strong organizational and administrative skills, including meeting coordination, report preparation, and internal communications.

Preferred Experience

· Experience working in the tourism, hospitality, or destination marketing industry.

· Familiarity with content management systems (CMS), CRM platforms, or marketing automation tools.

· Exposure to AI-powered platforms, digital travel planning tools, or tourism technology platforms.

· Experience coordinating trade shows, familiarization tours, or industry events.

Technical Skills

· Proficiency in Mac-based environments & Microsoft Office and comfort learning new digital platforms.

· Strong attention to detail and ability to audit digital content and data for accuracy.


Physical Requirements

· Ability to lift up to 40 lbs. Frequently sits, stands, and walks. Occasionally twists/turns, bends, kneels, and reaches overhead. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
