Internal Application: Team Coordinator, International Programs

Job Description

Sesame Workshop is looking to hire a Team Coordinator, International Programs.   The Team Coordinator will work as part of the International Programs and Operations (IPO) team and will report to the IPO Vice President & General Manager. The Team Coordinator will pro-actively assist the VP/GM to manage the daily processes and planning of the IPO team. The right candidate will be expected to engage pro-actively across the IPO team, country offices and all areas of Sesame Workshop (e.g., Finance, HR, Legal) in order to help facilitate the workload and workflow of the team. Previous experience in supporting managing complex calendars is preferred as well as the ability to work well under pressure in a busy and dynamic environment.


RESPONSIBILITIES

  • Pro-actively manage the VP/GM’s scheduling needs, which may include heavy scheduling commitments
  • Assist to effectively prioritize and plan meetings per the upcoming goals of the team
  • Participate in meetings/calls when requested and with team, and keep notes of meeting action points
  • Track activity deadlines and deliverables arising from meetings
  • Develop international travel itineraries, related logistics, and follow up for VP/GM
  • Submit and track Concur requests as required, primarily (but not limited to) the expense reports related to the travel
  • Process contracts in Nintex and coordinate with Legal Department for contract preparation/review
  • Monitor contracts, including reviewing invoices and confirming that deliverables have been met before submitting for payment, tracking payments to ensure compliance with contract terms, and keeping the VP/GM and team updated as necessary
  • Manage retreat planning, meeting preparation, coordination, and logistics which may include setting up teleconferences, Microsoft Teams, and catering needs
  • Assist in the onboarding process for new hires/temporary staff/consultants/interns including logistical set-up and orientation
  • Provide administrative process and planning support to the team as required
  • Assist in responding to requests for information from internal and external sources and draft appropriate responses
  • Collect and organize information from Sesame Workshop staff and country offices in support of program strategies and other needs
  • Prepare presentations and other materials for the team as required


 QUALIFICATIONS

  • BA/BS or equivalent experience
  • 1-3 years of experience
  • Strong proficiency in MS Word, Excel, PowerPoint and Outlook
  • Direct experience in the nonprofit sector as a staff member, board member, or volunteer, preferably including some international experience preferred
  • Excellent interpersonal and communication skills with attention to detail
  • High degree of integrity, confidentiality and discretion required
  • Demonstrated dependability and sense of urgency about getting results
  • Must be able to prioritize a variety of time-sensitive tasks
  • Must have excellent judgment, independent thinker and resourceful
  • Strong organizational skills

About the Team:

The International Programs and Operations (IPO) team within Sesame Workshop’s International Social Impact division is responsible for project managing international social impact projects, ensuring that the division has the internal processes to fulfill our mission and supporting our country offices in Bangladesh, India, and South Africa.
