Job Description

Sesame Workshop seeks a highly organized and detail-oriented Manager, Speakers Bureau /Conferences working in close coordination with the VP, Public Affairs & Special EventsThe ideal candidate is a strong writer and self-starter who takes initiative, prioritizes well and is able to multi-task. The candidate will have experience and/or knowledge of the non-profit sector and/or children’s education and media.  This is relationship-focused, process-oriented position that possesses sensitivity in working well internally as well as handling audience facing opportunities.


The Manager will support the VP with the coordination of Speaker Bureau details, all conference-related needs, including writing, designing presentations, maintaining contracts for vendors and speaking engagements, managing logistics, and providing administrative and organizational support to Speakers Bureau and various Events team members as needed.

Schedule:  Monday – Friday 9:30am – 5:30pm (Occasional extended hours or late days pending event needs)


Support fielding Speaker Bureau requests and proactively securing additional opportunities to elevate Sesame Workshop initiatives, content and mission with support, such as:

  • Perform a high volume of outreach and research for potential opportunities
  • Develop and implement targeted plans and charts to follow speaker bureau activity across all divisions of the company
  • Prioritize and manage multiple speaker opportunities simultaneously, vetting incoming speaking requests and make recommendations on which events are worth pursuing
  • Partner with event planners to provide support to programming needs, ensure fit, and traffic service contracts
  • Help develop compelling presentations for delivery at high-level events, conferences, and partner or funder meetings; includes drafting talking points and creating accompanying well-designed PowerPoint presentations
  • Speak—with clarity, purpose, and passion—about our organization’s mission and roster of visionary speakers;
  • Represent speakers and company mission to a variety of potential hosts, including colleges, universities; corporations, conferences and nonprofits in the United States and internationally
  • Stewardship of planned engagements, including coordination of logistics and facilitation of communication between VP, speakers and event hosts
  • Liaise with Communications & Events Directors who manage speaker communications and all event logistics
  • Work with the department VP to develop strategy to facilitate the short-term and long-term operation of the speaker bureau
  • Maintain a current database of conferences, workshops, event hosts and organizational partners
  • Arrange pre-program calls with VPrepresentative and speaker to review platform and presentation expectations
  • Coordinate AV, travel arrangements, prepare travel packets, briefings, and meeting agendas as directed for speakers, talent and presenters
  • Provide event status reports regularly to the VP Public Affairs/Events
  • Administrative support: answering phones, handling correspondence, expense reports, filing, calendar management, schedule meetings, manager travel logistics, coordinate speaker/event binders and briefing documents, etc.
  • Research venues, hotels, restaurants and travel options as needed
  • Provide additional administrative and onsite support for corporate & special events whenever possible
  • Manage, maintain and update all project resources and informational assets and track all related documents through approval processes ensuring timely delivery


  • 3-5 years of Event and/or Meeting Planning expertise in the non-profit space
  • Excellent writer who loves to tell a great story, whether it’s a presentation or an event invitation
  • Superior process management skills: exceptional time management and follow-through; experience with deadline-driven projects in a fast-paced environment; attention to detail
  • Expert in PowerPoint, strong overall computer skills
  • Experience and/or knowledge of the non-profit sector and/or children’s education and media
  • Ability to juggle multiple tasks and manage competing priorities
  • Strong people skills
  • Available to work occasional extended hours or late days pending event needs

Basic Requirements:

  • Must have the legal right to work in the United States
  • Bachelor’s degree or related experience


Department Overview: Public Affairs & Special Events is a division of the Global Impact and Philanthropy department that is responsible for growing Sesame Workshop’s brand visibility and global presence by supporting live character appearances, shows and community engagement opportunities. The team collaborates with a variety of domestic and international partners, stakeholders, and service providers to support a vast range of goals across the company’s mission in support of essentially every division. The PA/Events team is continually coordinating regularly scheduled calendar events and speaking engagements, while also planning for new initiatives and event requests.
