Freelance Administrative Assistant

Job Description

Sesame Workshop is looking for a Freelance Administrative Assistant for the Global Impact and Philanthropy Division. The assistant will provide support for the office of the EVP, including events and speaking engagements. He/She will help juggle competing demands by working closely with all SIP teams including International Social Impact, U.S. Social Impact, Philanthropic Development, Corporate Events, Strategic Communications and Marketing.

Responsibilities

Assist with general administrative tasks, projects, and events.  Responsibilities will include:

  • Answering phones, handling correspondence, trafficking various paperwork
  • Calendar and contact support  
  • Manage file inventory, assist with printing and filing important material
  • Assist with all shipments, mailroom and messenger deliveries, and maintain record of outgoing packages
  • Coordinate travel arrangements.  Prepare travel briefs and talking point note cards for EVP
  • Process expense reports via Concur
  • Order and organize office supplies, stationery, and Sesame premiums. Maintain a tidy work environment
  • Create contracts for interns and short-term consultants
  • Order catering, provide setup and breakdown for meetings as needed
  • Provide onsite support for special events, internal and external, including Sesame’s Annual Gala as needed

Basic Requirements

  • Entry level  
  • Bachelor degree
  • Advanced knowledge of Microsoft Office (Outlook, Excel, PowerPoint, Word)
  • Must be proactive and able to work independently as well as contribute to a strong team
