Department Coordinator, International Social Impact

Job Description

Sesame Workshop is looking to hire a Coordinator, International  Social Impact.  The coordinator will work with a small team in the International Social Impact Department.  The International Social Impact oversees the work of 5 functional/international program areas and 3 country offices. This team is composed of two Senior Vice Presidents and a Manager who all work closely to support our global programs and country offices. The Coordinator will manage various activities including scheduling, meeting planning, travel coordination, and expenses.  

The ideal candidate will be a collaborative team player who is flexible and proactive and at times work independently. The right candidate will be globally minded, able to work across multiple cultures and geographies. The right candidate must be skilled in managing multiple tasks and conflicting priorities with accuracy and attention to detail. Critical to the success of this position is the development of positive working relationships, particularly in dealing with senior executives across the organization and with other key stakeholders.


  • Pro-actively manage the SVP’s scheduling needs, which may include heavy scheduling commitments
  • Assist to effectively prioritize and plan meetings per the upcoming goals of the team
  • Participate in meetings/calls when requested and with the team, and keep notes of meeting action points
  • Track activity deadlines and deliverables arising from meetings
  • Develop international travel itineraries, related logistics, and follow up 
  • Submit and track Concur requests as required, primarily (but not limited to) the expense reports related to the travel
  • Process contracts in a contract database and coordinate with Legal Department for contract preparation/review
  • Monitor contracts, including reviewing invoices and confirming that deliverables have been met before submitting for payment, tracking payments to ensure compliance with contract terms, and keeping the SVP's and team updated as necessary
  • Manage retreat planning, meeting preparation, coordination, and logistics which may include setting up teleconferences, Microsoft Teams, and catering needs
  • Assist in the onboarding process for new hires/temporary staff/consultants/interns including logistical set-up and orientation
  • Provide administrative process and planning support to the team as required
  • Assist in responding to requests for information from internal and external sources and draft appropriate responses
  • Collect and organize information from Sesame Workshop staff and country offices in support of program strategies and other needs
  • Prepare presentations and other materials for the team as required


  • BA/BS or equivalent experience
  • 1-2 years of experience
  • Strong proficiency in MS Word, Excel, PowerPoint and Outlook
  • Direct experience in the nonprofit sector as a staff member, board member, or volunteer, preferably including some international experience preferred
  • Excellent interpersonal and communication skills with attention to detail
  • High degree of integrity, confidentiality and discretion required
  • Demonstrated dependability and sense of urgency about getting results
  • Must be able to prioritize a variety of time-sensitive tasks
  • Must have excellent judgment, independent thinker and resourceful
  • Strong organizational skills
