Department Coordinator

International Social Impact | New York, NY | Full Time

Job Description

Sesame Workshop is hiring a Department Coordinator to provide daily administrative support to the SVP and VP of International Social Impact, and to manage a range of support functions for the department. As a part of a dynamic and changing organization, the Department Coordinator will need to be an innovative, hands-on team-player. S/he will continually exercise independent judgment on sensitive issues, while performing administrative duties. 

Main Duties include:

  • Filing, copying, managing multiple calendars, obtaining signatures, scanning, tracking documents, note taking, expense report preparation, asset cataloging, contract approval, and more
  • Social media coordination, including working in collaboration with social media team to develop new ideas for campaigns, and managing the department's YouTube channel
  • Managing department communication, including obtaining and consolidating information from project teams in order to share periodic updates with SVP and larger SIP group
  • Developing and implementing organizational systems 
  • Preparing internal and external written communications and presentations 
  • Proofreading and fact-checking documents
  • Arranging travel, obtaining visas, creating itineraries, and creating travel briefing documents
  • Meeting preparation, including ordering food 
  • Office maintenance including ordering supplies and unpacking deliveries, supply drawer organization, managing facilities issues, office space, retrieving department mail, and storage management
  • Department intern coordination including hiring, onboarding, and management
  • Other admin support as requested


  • BA/BS required
  • Experience with MS Office Suite is required
  • Experience in a comparable position is preferred
  • Ability to work independently and collaboratively, while handling a heavy, diverse workload
  • The capacity to adapt to change and respond to challenge; a “can-do” and “will-do” attitude
  • Strong organizational and communication skills: the ideal candidate is stickler for details and is highly organized, thoughtful and concise
  • Excellent time management skills, and the ability to proactively manage others’ time when necessary
  • Proactive team player, able to spot inefficiencies and propose effective solutions (creative problem-solving skills)
  • Results-oriented
  • A willingness to work across time zones, late nights and weekends when applicable

Department Overview: International Social Impact is the division of the Social Impact and Philanthropy department that is responsible for growing Sesame Workshop’s global presence and initiating, implementing and strategically sustaining local brand adaptations to drive reach and impact. The team collaborates with a variety of international partners, stakeholders, and service providers to deliver educationally targeted, high-quality content through coalitions of local and global media, education, government, corporate, donor and civil society partners
