Job Description
Sesame Workshop is looking for an Administrative Assistant to join our Strategic Partnerships, Themed Entertainment, Media Products & Publishing teams.  The candidate’s primary responsibility is to provide administrative support to the Vice Presidents of each division and other members of the team.   This is an excellent opportunity for an early-career candidate:  in addition to juggling many administrative tasks, the candidate will also develop skills and gain insights about themed entertainment & publishing.  

We are looking for candidates who are detail-oriented, have a collaborative spirit and a “can-do” approach, and who exercise discretion.  Candidates should expect a vibrant, and sometimes fast-paced work environment.


Responsibilities:
  • General support for the VPs and their respective teams
  • Manage calendars for VPs
  • Compile and submit expense reports for the teams
  • Manage departmental budgets and reimbursements through external invoices
  • Organize, distribute and archive product samples
  • Distribute and organize creative assets
  • Organize licensee forecasts and folders
  • Assist with organizing, updating and distributing brand materials
  • Complete performer request & bill back forms
  • Process invoices
  • Submit creative job-starts
  • Assistance with product submission system
  • Perform trend/industry analysis
  • Prepare and process contracts for advisors, consultants, freelancers, and interns; and work closely with the Legal Department.
  • Manage office supply and product orders
  • Oversee the hiring and day-to-day tasks of department interns
  • Coordinate travel and meal arrangements as needed
  • Other duties as assigned

Qualifications
  • B.A. or B.S. Degree
  • Possess excellent verbal, written, communications, and organizational skills
  • Detail-oriented
  • Excellent MS Office skills, as well as Excel and PowerPoint
  • Maintains confidentiality as appropriate
  • Collaborates & works well on a team
  • Allocates time and/or resources according to priorities
  • Can recognize gaps and work to achieve solutions for better processes
  • Experience or interest in themed entertainment or publishing is a plus
