Job Summary

The Events Coordinator will support the planning, coordination, and execution of Sesame Workshop’s internal and external events. This role is to support the Events Team for 6 months, covering a temporary leave of absence. This role provides hands-on logistical, administrative, and onsite support for a wide range of in-person, virtual, and hybrid events that advance the organization’s mission, storytelling, partnerships, and brand presence.


Responsibilities

Event Planning & Execution:

· Support planning and execution of events in communities, including partner activations and costume character and Muppet appearances that deliver meaningful experiences and learning to children and families.

· Support planning and execution of convenings and events that highlight Sesame Workshop’s research, impact, and thought leadership.

· Support philanthropic fundraising events such as donor briefings, partner receptions, convenings, and experiences that feature our characters and impact, ensuring a thoughtful, high- touch guest experience.

· Assist with event timelines, production schedules, run-of-show documents, contact sheets, and onsite staffing plans.

· Provide onsite and/or virtual support during events, including registration, talent logistics, vendor coordination, and troubleshooting in real time.


Logistics & Coordination:

· Coordinate event logistics such as venue research, vendor communication, catering, transportation, travel itineraries, and shipping.

· Assist with managing guest lists, invitations, RSVPs, and registration platforms; track attendance and status updates for internal stakeholders.

· Support contract processing, purchase orders, invoices, and expense tracking in collaboration with Finance and Legal.

Cross-Functional Collaboration.

· Provide administrative support for the PR & Publicity and Communications functions as needed.

· Partner closely with internal teams including PR, Communications, Brand Marketing, Brand Creative, Production, Facilities, Legal, Finance, and Executive Offices to align on goals, logistics, and deliverables.

· Communicate clearly and professionally with external partners, vendors, agencies, and venues.


Administrative & Team Support:

· Maintain organized records for events, including budgets, vendor lists, timelines, and post-event recaps.

· Assist with post-event reporting, asset collection, and internal follow-ups.

· Support additional department initiatives and projects as needed.

· Administrative duties such as filing, copying, calendar management, obtaining signatures, scanning, tracking documents, note taking, expense report preparation.

· Office maintenance including supply ordering and unpacking, serving as a point of contact for facilities issues, office space, retrieving department mail, storage management.


Required Qualifications

· Bachelor’s degree preferred; coursework or experience in events, communications, marketing, or related fields preferred.

· 1–2 years of relevant experience in event coordination, production, hospitality, communications, or a related role (internships included).

· Strong organizational skills and exceptional attention to detail in a fast-paced environment.

· Ability to manage multiple projects simultaneously while meeting deadlines.

· Excellent written and verbal communication skills.

· Collaborative, proactive, and solution-oriented growth mindset.

· Ability to work occasional evenings or weekends in support of events.

Sesame Workshop Hybrid Work Policy

This position is based at our headquarters office in New York (Manhattan) at 1900 Broadway, New York, NY, and follows a hybrid work model. In-office requirements vary by role and employee group, and currently range from two to five designated in-office days per week.
