Position Summary:
The Manager, People & Culture Administrative Operations plays a key supporting role within Sesame Workshop’s People & Culture team. This hybrid position blends operational coordination, project support, and executive assistance for the Chief People Officer (CPO)—and is ideal for someone who thrives on being organized, proactive, and solutions-oriented.
Reporting to the CPO, this position is based in New York, NY (Manhattan). Sesame Workshop follows a hybrid work model with a minimum of 2-designated in-office days.
Primary Responsibilities:
You’ll be central to helping the team stay focused and connected by managing timelines, improving processes, and anticipating the needs of the CPO and department. People & Culture Team Administration
- Develop and maintain an overall plan for the P&C team to stay on track with their strategic goals and delivery commitments
- Oversee People & Culture annual budget, track spending and give regular updates
- Support internal communications by organizing team communications, reviewing tone consistency, and scheduling.
- Help organize team meetings, including setting agendas, taking notes, tracking action items, and following up with team members.
- Look for meaningful ways to improve internal organization and keep team operations running smoothly.
- Maintain departmental calendars, trackers, and documentation to ensure the team is aligned on priorities and key dates.
Project Coordination
- Support the planning and execution of People & Culture cross-team projects spanning compensation, performance, engagement, learning, recruiting, and operations
- Build project timelines, track progress, and support communication between team members and stakeholders.
- Use creativity and attention to detail to ensure work is well-organized, visually clear, and easy for others to understand.
Executive Support for the Chief People Officer
- Act as a liaison and point of contact on behalf of the CPO with internal and external stakeholders—maintaining professionalism and a helpful, can-do attitude.
- Proactively manage the CPO’s calendar, anticipating needs and resolving scheduling conflicts before they become issues.
- Support the CPO in delivering their board committee responsibilities.
- Prepare meeting materials and briefings ahead of time, ensuring the CPO is always prepared and focused on priorities.
- Coordinate travel, expense reports, and meeting logistics with accuracy and timeliness.
- Monitor upcoming deadlines and action items for the CPO, offering reminders and support without needing to be asked.
- Suggest ways to streamline the CPO’s schedule and workload, helping create space for strategic focus.
Cross-Team Communication & Support
- Help maintain smooth communication between different People & Culture functions (e.g., Talent Acquisition, Benefits & Operations, Employee Experience, Performance & Compensation and Business Partners).
- Update timelines, templates, and internal documents to reflect the latest team activities and expectations.
- Coordinate recurring team activities such as all-hands updates, off site planning meetings, and calendar-driven processes
- Assist with coordination of department-wide communications and events, helping promote engagement and clarity.
- Support other team members during high-volume periods or during large initiatives.
Minimum Qualifications:
- 5+ years of experience in Human Resources in either operations, executive administrative support, or project coordination roles.
- Experience supporting a senior leader or team in a fast-paced or cross-functional environment
- Proven ability to take initiative, manage multiple priorities, and follow through with a high degree of accountability.
- Strong written and verbal communication skills; able to communicate effectively and professionally with employees at all levels, including senior leadership.
- Demonstrated flexibility and composure in a fast-paced, constantly evolving environment.
- Strong relationship-building skills; able to cultivate trust, collaboration, and positive rapport across diverse teams.
- Strategic thinker with the ability to anticipate needs, identify process improvements, and align operational support with broader organizational goals.
- Intermediate level skills in Microsoft Office tools (Outlook, Excel, Word, PowerPoint)
Nice to have:
- Familiarity with project management tools is a plus.
- Better than entry level understanding of Human Resources functions and culture
