Operations Manager

Job Description


Seamgen is a rapidly growing custom software development company and is seeking a Operations Manager. The Operations Manager position will work with Seamgen’s management team to deliver the day-to-day operations for a team of 20+ custom software designers and developers. This position reports to President/CTO of the company.


Major Areas of Responsibility:

·      Onboard new hires, manage daily office tasks and staff requests

·      Manage payroll, client invoicing and budgeting for the company

·      Coordinate and organize recruiting efforts for the management team


Specific Responsibilities of the Job Include:    

·      Facilitate the management of all new hire documentation

·      Oversee payroll through Quickbooks and our Harvest time management system

·      Organize monthly invoices and receipts

·      Create excel spreadsheets itemizing company spending and projections

·      Negotiate rates with company vendors for equipment and supplies

·      Execute all internal communication with the staff

·      Manage Seamgen’s benefits plans through communication with our brokers

·      Administer confidential employee files and HR documents

·      Work with the management team to publish job postings and attend job fairs

·      Order company office equipment, supplies and manage FedEx shipments

·      Track Seamgen’s office equipment inventory, log all devices and facilitate orders for the staff

·      Clean office kitchen area and stock fridge with our complementary drinks and snacks

·      Answer phones and relay messages to team members

·      Order Seamgen’s marketing materials including brochures, folders, trade show equipment and business cards

·      Organize all office teambuilding activities and company events


Required Knowledge, Skills and Abilities:

·      Expert Excel and Quickbooks skills required

·      Must have superior writing skills and be extremely detail oriented

·      Strong interpersonal skills and the ability to work in a team setting

·      Must be able to work with minimal supervision

·      Experience with Adobe PhotoShop, InDesign and Illustrator a plus

·      Experience in the software industry a plus


Education and Experience:

·      Bachelor’s Degree in English, Communications, Business Administration or related field preferred.

·      3+ years of experience in a professional work setting with an operations related role (HR, Recruiter, Accountant and Executive Assistant roles are ideal)


Physical Demands:


While performing the responsibilities of the job, the employee is required to talk and hear. The employee is often required to sit and use their hands and fingers, to handle or feel. The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision. Additional, the candidate must have the ability to lift up to 50 lbs.
