As we continue to grow, we are seeking a Community Outreach and Government Affairs Coordinator to play a vital role in ensuring smooth operations for our executive leadership while also supporting community outreach initiatives and government affairs efforts.

Role Overview

The Community Outreach and Government Affairs coordinator will provide comprehensive administrative support to C-suite executives while also playing a key part in supporting high level activities. The ideal candidate will serve as a trusted liaison between executive leadership, community partners, and government entities, ensuring seamless communication and efficient execution of strategic initiatives.

Key Responsibilities

Executive Support:

• Provide comprehensive administrative and logistical support to board members, ensuring seamless communication and coordination.

• Manage complex calendars, schedule appointments, expense reports and coordinate travel arrangements for C-suite executives and board of directors.

• Maintain and update the website.

• Draft, review and manage executive correspondence and communications.

• Prepare meeting agendas, briefing materials, and executive presentations.

• Organize and facilitate executive meetings, including meeting minutes, follow-up and action tracking.

General Administration:

• Manage confidential and sensitive information with discretion.

• Assist in the development and execution of marketing campaigns across digital, social, and traditional channels to support brand awareness and lead generation.

• Collaborate with internal teams and external vendors to create marketing materials, manage content calendars, and support event coordination and promotions.

• Oversee budget tracking and expense reporting for assigned projects.

• Coordinate with various departments to ensure alignment on strategic initiatives.

• Strong written and verbal communications skills.

• Exceptional organizational abilities, with the capacity to prioritize tasks efficiently, and attention to detail.

• Perform additional administrative duties as assigned.

Community Outreach:

• Assist in planning and executing community engagement events and initiatives.

• Liaise with community organizations and non-profit partners to support corporate social responsibility goals.

• Maintain and update databases of community contacts and outreach activities.

• Develop and distribute communication materials related to community programs.

Government Affairs Support:

• Support the development and execution of government relations strategies.

• Coordinate meetings and events with government officials, industry associations, and policy makers.

• Assist in preparing government-related communications and briefing documents.

Qualifications & Experience

• Minimum of 3-5 years of experience in executive assistance, with additional experience in event planning, marketing, community outreach or government affairs, considered as an asset.

• Bachelor’s degree in business administration, Public Relations, Communications, Marketing, or a related field preferred.

• Exceptional organizational and time-management skills with the ability to prioritize multiple tasks in a fast-paced environment.

• Excellent written and verbal communication skills.

• Proficiency in Microsoft Office Suite and familiarity with digital collaboration tools.

• Ability to work independently and collaboratively, demonstrating strong interpersonal skills.

• Discretion and integrity in handling confidential information.

Working Conditions

• This is a full-time, in-person position, five days a week.

• A fast-paced office environment with occasional travel for events and meetings.

• Flexible work hours may be required to accommodate executive schedules and event timings.
