Reports to:     Vice President of Store Operations

JOB SUMMARY

The Operations Administrative Coordinator provides support to the Vice President of Store Operations by assuming responsibility of the administrative activities to ensure Store Operations operates in an efficient manner. This position is responsible for planning and carrying out duties including operational tasks, program/project administration, budget administration, and providing day-to-day administrative support to Store Operations.

 JOB DUTIES AND ESSENTIAL FUNCTIONS

  • Prepare sales and performance reporting, including printing business reports, maintaining sales and wage target information, and updating systems
  • Prepare correspondence, reports, documents, presentations, and spreadsheets from conference calls, verbal discussions, and/or handwritten material rough drafts, including editing grammar, spelling, and punctuation
  • Maintain a strong code of ethics and a high degree of confidentiality of information regarding all company, personnel, community, legal, and all other projects
  • Review and report on business-critical reports
  • Assist in determining trends and provide information to help make strategic decisions for stores
  • Coordinate all material and recording process of weekly webinars
  • Maintain and track daily collectables from District Managers
  • Work to create efficiencies in daily tasks
  • Work with Operations team on tasks and projects as assigned
  • Coordinate travel such as hotels, flights, and car rentals as needed
  • Use general office equipment such as telephone, copy machine, fax machine, calculator, computer
  • May be required to cross train and perform other duties

 QUALIFICATIONS

  • Previous retail experience preferred
  • Demonstrate effective and consistent communication and interpersonal skills
  • Demonstrate effective problem-solving and analytical skills
  • Ability to communicate effectively with the team
  • Ability to remain flexible, proactive, resourceful, and efficient in a fast-paced environment
  • Ability to multi-task and coordinate, analyze, observe, make decisions, and meet deadlines

  • Attention to detail
  • Proficiency in Microsoft Word, Microsoft Excel and PowerPoint
  • Must be a self-starter, critical thinker, good listener, and ability to work under pressure at a fast pace
  • Ability to organize and prioritize a variety of task and projects at one time
  • Ability to participate in our online applicant and new hire onboarding process remotely
  • Ability to complete computer-based training
