Job Description

Job Title: ERP Documentation Specialist  

Job Location: Store Support Center, Mattoon, IL

Reports to: Development Project Manager

FLSA Status: Hourly Non-Exempt



The purpose of the ERP Documentation Specialist is to document processes, data points, variables and settings, and other items related to the workings of the ERP system. This will include diagrams, schematics, instructions, and standard operating procedures both from a technical and non-technical perspective.


  • Organize data and documents by archiving, labeling, sorting, and categorizing for ease of use.

  • Outline a long-term storage strategy for housing data and documentation.

  • Adhere to regulatory requirements in a documentation processes used and created.

  • Collaborate across departments to ensure consistency and integrity of documentation across the company.

  • Train associates on best practices for documentation and data usage.

  • Assist with both internal and external audits.

  • Administer documentation access.

  • Remove documents that are obsolete.

  • Utilizing storage software and applications for electronic filing.

  • Perform transcription and conversion work.

  • Proofread documents upon request.

  • Use general office equipment.

  • Frequently operate keyboard to enter in information.

  • Sit/stand/walk for long periods of time.

  • Verbally communicate effectively with others (in-person and via electronic devices).

  • May be required to cross train and perform other duties.


  • 5+ years of advanced Microsoft Office experience.

  • Experience in Visio, SmartDraw, or other process type software.

  •      Experience with Atlassian toolset (JIRA, Confluence etc.)

  • Demonstrated ability to innovate and come up with creative ideas to support the business and drive efficiencies resulting in cost savings.

  • Demonstrated self-starter and ability to work independently.
