The Position

The Advancement Operations Assistant supports the Advancement Office by performing daily gift entry, biographical data maintenance, and administrative tasks that ensure accurate donor and constituent records. This in-person role also provides lobby coverage in coordination with the Executive Assistant. This role is part-time, 20 hours per week.

Essential Duties & Responsibilities

Daily Responsibilities

  • Post online giving donations.
  • Confirm and reconcile third-party gift information in online portals.
  • Review Informer reports for address updates and biographical changes.
  • Review newspaper articles for RC community mentions.
  • Review obituary data for RC community.

Weekly Responsibilities

  • Prepare and distribute Commemoration Cards.

Seasonal Responsibilities

  • Create parent records for newly deposited students.
  • Assist with biographic data verification during Giving Days.

Required Qualifications

  • Associate degree required; bachelor’s degree preferred.
  • Must be available for in-person daytime work hours.
  • Due to the nature of the schedule, candidates cannot be enrolled in an in-person academic program.

  • Technical Proficiency: Ability to learn and navigate RC systems including Colleague, CRM Advance, Informer, and online portals such as GiveCampus and AlumniFinder.

Preferred Experience

  • Experience working in an office environment with standard administrative technology and tools.
  • Familiarity with data entry, record management, or CRM/database systems.
  • Comfort navigating online platforms used for research, verification, or information review.
  • Prior experience using organizational email and productivity software to support daily workflow.
  • Ability to learn new systems and tools quickly and apply them accurately in routine tasks.

Physical Requirements

  • Ability to remain seated or at a workstation for extended periods.
  • Ability to move within the office environment, including lobby coverage.
  • Ability to lift up to 10 pounds occasionally (files, small office supplies).
  • Ability to read printed and digital materials for data review.
  • Ability to perform repetitive tasks such as typing and data entry.

Work Environment

  • Standard office environment.
  • In-person role requiring consistent attendance.
  • Shared responsibility for lobby coverage with the Executive Assistant.
