The Position

To provide administrative support for the Deans of the School of Communication, Culture, and the Arts and the School of Education, Government, and Society, including faculty members working in English, Communication Studies, Human Services, Public Health, and Sociology. Maintain confidentiality of academic materials and student data.

Key Responsibilities:

  • Provide a broad range of administrative duties to include greeting guests, preparing documents, maintaining physical and digital files, copying, scanning, routing mail, and handling phone and email inquiries.
  • Manage the physical spaces of the building(s) by ensuring housekeeping standards, room reservations for meetings and events, placing work orders, as well as ensuring adequate office supplies, copier maintenance, and other office management duties.
  • Assist faculty with student academic progression, committee work, research, and professional projects.
  • Prepare correspondence, forms, and student data reports for all faculty members.
  • Monitor School spending, reconcile credit cards, prepare check requests, process invoices, track grant and restricted spending, and adhere to college fiscal and budgetary guidelines.
  • Organize events and coordinate with catering and other on- and off-campus partners as needed including faculty meetings, senior reception, honor society, award banquets, etc.
  • Hire and supervise student employees including time approval and budget management.
  • Assist with candidate searches using the college’s applicant tracking system, coordinating the on-campus interview schedule, and making lodging and transportation arrangements.
  • Assist faculty with a variety of requests to prepare for class and facilitate academic progression of students.
  • Facilitate arrival of new faculty by reserving office space and coordinating information technology and other services to ensure a welcoming environment.
  • Assist students with internship and class registration and information.
  • May perform additional duties in the absence of faculty members such as proctoring an exam or starting a film.
  • Other related duties as assigned.

Education, Experience, Skills, and Abilities:

  • High school diploma or equivalent, with some college preferred.
  • Experience working at a college or university in an administrative role.
  • Excellent interpersonal and communication skills.
  • Strong organizational skills, attention to detail, and the ability to multitask efficiently.
  • Ability to work independently and solve problems using established College policies and procedures.
  • Ability to supervise student employees, including training and performance management.
  • Proficient in Microsoft Office with ability to learn a variety of college specific systems, such as Colleague, Informer, Self Service, Handshake, etc.
