SALES SUPPORT

Job Description

Job Summary/Objective:

 In this position, you will be responsible for a multitude of departmental support needs.   The Sales Support role will work closely with all team members within the RJG United States sales department.  You will communicate and collaborate with other departments within RJG to address the needs of the sales department and of our clients as needed.  There will be a healthy balance between internal and external communication and administrative responsibilities.

 Reports to: Inside Sales Manager

 Classification:  Full-time/Hourly non-exempt

 Location:  Flexible / Traverse City, Michigan

 Essential Job Functions:

 Department Support  

  • Maintain and update sales department Work Drive folders  
  • Maintain and update sales department ISO process and procedure documentation
  • Populate training assessment worksheets as needed
  • Maintain and track department demo equipment
  • Prepare and track Consignment Contracts and Equipment
  • Prepare sales orders and track Demo and Loaner equipment.
  • Update custom products spreadsheet as needed
  • Back up and support for Customer Service and Order Specialist as needed
  • Perform additional department administrative tasks as needed
  • Maintain and check CRM database as needed

 Sales Order Entry 

  • Monitor customer purchase order in-box for customer orders and inquiries and provide back up and support to the Sales Order Processing Specialist
  • In-plant training and systems training book order entry
  • Update CRM and ERP account and contact information as needed

Report Generation  

  • Generate sales department reports as needed

 Contract Control  

  • Record new and renewed Instrumented Mold Programs (IMP)  Track and calculate annual rebate amount
  • Prepare and track new Valued Relationship Agreements (VRA),Update CRM and SAGE  
  • Track Long-Term Agreements (LTA) for renewal or termination   
  • Log and file Non-Disclosure Agreements (NDA’s)  Update CRM
  • Create and track RJG sales Rep agreements  Execute and log termination process
  • Update account MAPP membership and track with expirations

 Customer Service

  • Provide back up and support for product returns, warranties and exchanges  
  • Provide back up and support for accounting information to clients as needed:  invoice questions, terms questions, balances, credits
  • Provide shipment tracking information when requested
  • Complete Vendor Supplier and New Customer documentation   
  • Answers general sales phone line
    • o   Addresses customer needs or directs customer to appropriate department as needed
  • Provide product and services email pricing based upon customer needs and requests   
    • o   Route to appropriate sales personnel for formal quotations

 Performs other job duties as assigned

 Knowledge/Skills Needed/Experience

 Required:

  • Proficiency in Microsoft Office programs (Word, Outlook, Excel)
  • Excellent interpersonal communication skills:  listening, giving feedback, conflict resolution
  • Excellent written communication and typing skills:  grammar/spelling/punctuation/speed/accuracy/
  • Excellent customer services skills:   assessing customer needs, problem-solving, generating solutions, positive phone presence and etiquette
  • Working knowledge of office equipment such as printer, fax, scanner, copier

Preferred:

  • Experience in Sage accounting software products is helpful (MAS90, MAS200, ERP100, etc.)
  • CRM (ZOHO) knowledge is a bonus
  • Knowledge of all RJG products and services is a plus (training available)

 Work Environment:   Office setting

 Physical Demands:   Bending, sitting, walking, occasional lifting (5 to 25 lbs.)
